Job Description
Company Overview The Broadway Elder Living & Rehabilitation, a person centered, long term care facility, is now seeking a Healthcare Professional to serve as our Team Member Specialist Assistant This is a Monday through Friday, 8am to 4pm position. The main objective of this position is to assist in human resources . Job Overview We are seeking a proactive and enthusiastic Team Member Specialist Assistant to join our caring team.
The Team Member Specialist Assistant supports the facility's Human Resources and Payroll functions by assisting the Team Member Specialist (TMS) with administrative tasks, document collection, scanning, audits, basic employee guidance, reporting, and employee engagement activities. This role does not independently perform HR or payroll functions but provides essential support to ensure smooth daily operations. Responsibilities 1. Assist the Team Member Specialist with administrative HR and payroll support tasks as directed. 2. Greet and assist employees with basic questions regarding forms, schedules, policies, and general onboarding information in the absence of the TMS. 3. Collect, organize, and forward all employee paperwork and required documents to the HR/Payroll office. 4. Scan, file, and upload employee documents into designated systems in accordance with facility procedures. 5. Assist with routine audits of personnel files, training records, and other required documentation. 6. Assist with monthly reporting requirements including licensure/certification checks, OIG checks etc. 7. Provide administrative assistance during hiring processes, including distributing applications, collecting pre-employment documents, and running pre-employment background/OIG/AA checks. 8. Assist the TMS with new hire orientation by collecting required documents, preparing the orientation space, confirming attendance with applicants, and supporting any additional needs requested by the TMS. 9. Assist in coordinating employee engagement and recognition events to promote a positive workplace culture. 10. Help track document deadlines, missing paperwork, and compliance items, notifying the TMS or department leaders as necessary. 11. Maintain confidential information in a professional and secure manner. 12. Provide general clerical support including copying, scanning, filing, data entry, and preparing materials. 13. Communicate effectively with department heads regarding needed documents, reminders, or updates. 14. Assist the TMS in maintaining organized personnel files in accordance with facility standards. 15. Support the administrative team during emergencies, drills, or special facility events. 16. Complete additional duties as assigned and deemed necessary or appropriate by the Team Member Specialist or the facility Administrator. Qualifications 1. Maintains effective and professional interpersonal relationships. 2. Demonstrates good emotional, mental, and physical health with sound judgment. 3. Is courteous when working with residents, families, staff, and visitors. 4. Maintains an organized and neat work area. 5. Arrives to the facility ready to begin assigned duties on time and as scheduled. 6. Demonstrates the ability to work cooperatively with all departments. 7. Is able and willing to function appropriately during disasters or evacuations. 8. Assists the facility and administrative team during severe weather or shelter-in-place situations when required. 9. Demonstrates the ability to follow directions and complete assigned tasks accurately. 10. Completes pre-employment and annual Tuberculosis screening as required. Must possess, at minimum, a high school diploma or equivalent. Administrative or office experience preferred. Experience in a healthcare or long-term care environment is a plus.
