ABOUT THE POSITION A U.S
- based private company is seeking an exceptional AI Workflow Automation & CRM Systems Architect to help design, build, integrate and continuously improve the technology infrastructure behind a confidential national business initiative.
We are looking for someone who can help us create a highly automated organization capable of operating nationally while minimizing unnecessary manual administrative work. For competitive and confidentiality reasons, information concerning the company's specific industry, business model, products, services, target customers and commercial strategy will not be disclosed in this public job advertisement. Candidates do not need to know our specific industry to apply. Initial candidate evaluation will be based upon:

This is NOT a traditional IT support position. This is NOT simply a CRM administrator position. This is NOT simply a website-development position. This is NOT a traditional marketing position. This is NOT a position for someone whose AI experience primarily consists of using ChatGPT or completing online AI courses. We want someone who has personally designed and built functioning business automation systems.

PRIMARY RESPONSIBILITIES
- Design the overall automation architecture
- Configure and integrate CRM systems
- Build AI-enabled and conventional workflows
- Integrate business databases and websites with back-end systems

Potential AI applications include processing incoming emails, classifying communications, extracting information from documents, structuring unstructured data, summarizing communications, identifying important responses and opportunities, updating CRM records, creating tasks, routing requests, preparing follow-up communications, assisting sales and administrative personnel, analyzing data, generating reports, searching internal knowledge, AI-assisted customer communication and multi-step AI agents.
AI AGENTS
We are particularly interested in candidates with practical experience developing or integrating AI agents capable of receiving information, understanding context, retrieving information, making classifications, performing approved actions, updating systems, creating tasks, communicating with software, escalating issues to humans and maintaining appropriate logs. Human-in-the-loop AI experience is valuable.
CRM ARCHITECTURE
Experience with HubSpot is particularly valuable. Candidates should understand CRM architecture, company/contact records, custom fields, data relationships, pipelines, lead/contact management, activity tracking, workflows, email/task automation, lead scoring, reporting, dashboards, permissions, integrations, imports/exports and data governance.
APOLLO & SALES INTELLIGENCE
Experience with Apollo or comparable platforms is highly desirable, including prospect research, business contacts, emails, phone numbers, company information, enrichment, segmentation, lists, sequences, CRM synchronization, lead routing, exports/imports, API integrations and enrichment workflows.
LARGE-SCALE BUSINESS DATA
Experience managing large U.S. contact/company databases is extremely valuable, including:
- Large data imports
- Data cleaning and deduplication
- Data enrichment and email verification
- Company/contact matching and segmentation
- Data normalization and synchronization
- Suppression lists
- Bounce and unsubscribe management
- Email deliverability
- Data-quality monitoring
- CRM data governance
DUPLICATE PREVENTION & DATA QUALITY
Systems should identify duplicate people, companies, business locations, emails, telephone numbers, website domains and CRM records. The candidate should understand how to establish a master data structure that identifies previously acquired records and prevents unnecessary duplicate purchases, imports and communications.

The candidate should be able to understand objectives, map processes, identify unnecessary manual steps, design improved workflows, determine data ownership, establish triggers, build integrations, connect APIs, implement AI appropriately, create error handling, test, document, monitor and improve systems.
WE DON'T WANT AI USED EVERYWHERE
An experienced architect understands that conventional automation, database rules or API integrations may sometimes be faster, less expensive, more predictable, more secure and easier to maintain than
AI. SYSTEM RELIABILITY
Candidates should understand error handling, failed-workflow alerts, logging, retry procedures, API failures, rate limits, data validation, monitoring, backups, change management and documentation. We want to know when something fails before it becomes a business problem.
SECURITY & CONFIDENTIALITY
Confidentiality is extremely important. The successful candidate may eventually access proprietary business information, internal systems, CRM information, business/customer data, technical architecture, workflows, API credentials and internal documentation. Selected candidates may be required to execute appropriate confidentiality and intellectual-property agreements before receiving certain proprietary business information.
DOCUMENTATION IS REQUIRED
Every significant automation should document its purpose, trigger, systems involved, inputs, outputs, APIs, access requirements, error handling, dependencies and maintenance requirements.
