Business Administration Full Job Description Job Summary:
The Office and IT Operations Specialist is responsible for supporting daily office administration, workplace operations, and basic IT support activities to ensure efficient business operations and a positive employee experience. This role coordinates office services, operational processes, onboarding and offboarding logistics, workplace technology support, and vendor coordination. The position serves as a key operational support resource across administrative, facilities, and IT-related functions while maintaining organized processes, documentation, and operational continuity.
General Duties and Responsibilities:
Support daily office operations and administrative activities to maintain an organized, efficient, and professional workplace environment. Coordinate office vendors, facility maintenance activities, office services, and recurring operational requirements. Assist with office compliance tracking, operational records management, and administrative documentation maintenance. Support office purchasing activities, supply inventory management, and procurement coordination. Assist with shipping, receiving, mail handling, and workplace organization activities. Support employee onboarding and offboarding operational processes, including workspace preparation and coordination with internal teams. Coordinate company meetings, employee events, and workplace support activities. Maintain administrative records, operational trackers, and supporting documentation to ensure accuracy and organization. Assist leadership with administrative coordination, follow-up activities, and operational support tasks. Support expense submission processes, reimbursement coordination, and purchasing administration activities. Coordinate operational requests and support cross-functional communication and task follow-through. Balance responsiveness and employee support with operational efficiency and cost awareness. Handle sensitive, confidential, or urgent matters with professionalism, patience, and attention to detail. Manage onboarding and offboarding IT setup activities, including Microsoft O365 account creation and termination, system access setup and removal, and laptop deployment and collection. Provide basic IT support for employees, including password resets, printer troubleshooting, laptop support, and shared mailbox or group email administration. Provide limited remote IT support for other office locations as needed. Support invoice submission processes and maintain basic IT asset management documentation and records. Maintain and update IT asset inventory records, including hardware assignments and equipment tracking. Assist with basic cloud and administrative system support activities, including AWS administrative support and Okta administration tasks. Coordinate with external IT vendors, managed service providers, and headquarters IT teams to support issue resolution and operational continuity. Ensure compliance with company operational procedures, IT policies, and workplace standards. Other duties as assigned.

Qualifications:
Associate's or Bachelor's degree in Business Administration, Information Technology, Operations, or a related field preferred, or equivalent work experience in office administration, workplace operations, or IT support.. Minimum 2 years of relevant experience in office operations, administrative coordination, workplace support, or IT support functions, preferably in eMobility, consumer electronics, or powersports. Experience supporting office operations, facilities coordination, and vendor management activities. Basic experience supporting IT operations, including user account management, hardware setup, and troubleshooting activities. Experience working with Microsoft O365 administration, shared mailbox management, and user account support. Basic understanding of cloud platforms, identity management systems, or administrative systems such as AWS and Okta is preferred. Experience maintaining operational records, inventory tracking systems, and administrative documentation. Strong organizational skills and attention to detail with the ability to manage multiple priorities. Strong customer service mindset with effective communication and interpersonal skills. Ability to handle sensitive or confidential information professionally and appropriately. Proficiency in Microsoft Office applications, including Excel, Word, Outlook, and PowerPoint. Ability to coordinate cross-functional tasks and support operational follow-through. Strategic thinker with a high degree of ownership, execution capability, and a results-oriented approach. Experience working in a multinational company within an international team is a plus. Bilingual in English and Mandarin is a plus.
Physical Demands:
This role operates in an office environment and requires extended periods of sitting and working on a computer. The position may involve standing, walking, lifting, and moving office equipment or laptops, shipping and receiving activities, and occasional setup of workstations or meeting spaces. The ability to use standard office equipment is required. The employee must often lift and/or move up to 5 pounds and occasionally lift and/or move up to 50 pounds. Specific vision abilities required for this job include close vision, color vision, and the ability to adjust focus.
