The service desk is the command center of the operation. You will help organize the people, work orders, preventive maintenance, schedules, subcontractors, parts, documentation, and communication required to keep a large, complex government facility moving. You will interact with end users, government supervisors, technical representatives, project leadership, subcontractors, technicians, and Nova's back-office team. Some conversations will be challenging. We need someone who can remain calm, factual, organized, and professional when expectations are high or disagreements arise. The person who succeeds here will bring structure to complexity. You will help turn a reactive maintenance environment into a planned, documented operation where today's emergency gets handled without losing sight of tomorrow's preventive maintenance. Your Impact on the Facility Fort Belvoir represents approximately 1.5 million square feet of facility responsibility , including major mechanical systems and specialized environments. The operation includes chillers, boilers, air handlers, VAVs, pumps, refrigeration, kitchen equipment, plumbing systems, plant operations, computer-room equipment, SCIF areas, support buildings, guard facilities, a visitor center, and a daycare. Many systems are aging, making accurate records, preventive maintenance, follow-up work, and resource planning especially important.
Your work helps ensure that:
Technicians receive clear priorities and assignments. Service tickets do not fall through the cracks. Government and Nova records remain aligned. Preventive maintenance happens on schedule. Parts, subcontractors, and resources are coordinated before they become emergencies. Management has reliable documentation when decisions, approvals, or contract questions arise. What You'll Do Coordinate and dispatch service tickets to HVAC/R, plumbing, stationary/plant operators, kitchen equipment technicians, sprinkler-mechanical resources, subcontractors, and project personnel based on priority and capability. Manage technician schedules , including shifts, workdays, planned assignments, leave coordination, and daily changes. Maintain both Nova's service-management system and the government CMMS , ensuring work orders, notes, status updates, dates, labor information, and closeout records remain accurate in both systems. Reconcile records between systems so completed work, open work, pending items, and historical documentation can be tracked and audited. Build and maintain the preventive-maintenance schedule , creating recurring daily, weekly, bi-weekly, monthly, bi-monthly, quarterly, semiannual, annual, and other required PM tasks. Create daily technician PM assignments so planned maintenance becomes part of the normal workflow instead of something addressed only when time allows. Communicate with end users and government representatives regarding work- order status, scheduling, access, technician arrival, outstanding requirements, and next steps. Coordinate subcontractors , including scheduling, site access, technician interaction, documentation, and communication with project management. Coordinate parts and materials between technicians, project managers, vendors, and Nova's back office, including issuing and tracking purchase orders. Support service-ticket closeout by confirming technician notes, labor records, materials, follow-up requirements, and system updates are complete. Manage timesheet coordination and help ensure technician hours correspond with schedules, work orders, and assigned activities. Maintain an organized open-work list for pending parts, subcontractor work, deferred tasks, approvals, and other items requiring continued follow-up. What You Need to Succeed 2+ years of dispatch, service coordination, facilities administration, CMMS, construction administration, or similar operational experience preferred. Experience working around commercial HVAC/R, mechanical systems, facilities maintenance, or multi-trade service operations is strongly preferred. Strong organizational ability—you can manage technicians, schedules, PMs, work orders, parts, POs, subcontractors, and customer communication without losing details. Comfortable working in multiple software systems and keeping information synchronized accurately. Strong written documentation habits and an understanding that if work is not documented, it is difficult to prove it happened. Professional communication skills with technicians, project managers, government personnel, vendors, subcontractors, and end users. Ability to stay composed during difficult conversations and respond with facts, documentation, professionalism, and follow-through. Initiative to identify missing information, aging work orders, upcoming PM requirements, and scheduling conflicts before someone else has to point them out. A positive, team-oriented attitude and the ability to build productive relationships with field technicians. Secret clearance eligibility or an existing Secret clearance is strongly preferred.
