Job Summary The Records Specialist is responsible for accurate and timely data entry and for maintaining forms, documentation, and administrative systems in direct support of the Workforce Initiative Association (WIA) Records Department. This position requires working knowledge of the Workforce Innovation & Opportunity Act (WIOA), Temporary Assistance for Needy Families (TANF), and other applicable workforce programs, along with the ability to coordinate records and data processes across departments and exercise independent judgment within established policies and procedures.
Essential Duties and Responsibilities:
include the following. Perform any other duties or tasks consistent with the nature of this position and the goals of the organization. Enters, maintains, and reviews data for accuracy, completeness, and compliance. Identifies and resolves discrepancies. Applies working and analytical knowledge of WIOA, TANF, and other workforce programs to records, data, eligibility, documentation, and performance requirements. Maintains knowledge of the complete client-service process and ensures required forms, documentation, and system information are properly maintained throughout the process. Develops, updates, and improves forms, procedures, tracking tools, and administrative systems used to support records and program operations. Uses, evaluates, and helps improve workforce information systems and data-management processes; assists staff with system use. Applies program requirements to records and data and evaluates the impact of legislative, regulatory, and policy changes. Identifies process problems and develops or recommends improvements to increase accuracy, efficiency, compliance, and data quality. Provides technical and procedural guidance to staff regarding records, documentation, data entry, systems, and program requirements. Coordinates records, data, and administrative processes across departments to ensure consistent and efficient program operations. Works independently within established policies while exercising judgment to identify problems, analyze information, recommend solutions, and improve processes. Education and/or Experience Associate degree from an accredited college or university plus two years of experience in records management and data entry; or three to five years of experience in records management and data entry; or equivalent combination of education and experience. Strong verbal and written communications skills. Ability to develop, coordinate, and improve both paper and electronic records systems, forms, and procedures. Ability to manage time, organize work, and make sound decisions regarding work assignments. Possess excellent computer skills and be familiar with Microsoft Office products and workforce information systems. Ability to effectively and timely enter information into the state reporting system as well as any other local systems. Ability to recognize, analyze, and solve process-related problems and recommend improvements. Ability to provide technical and procedural guidance to other staff. Knowledge of records management principles and practices preferred. WIA also operates the OhioMeansJobs Centers in Stark and Tuscarawas Counties; a partnership of community organizations providing employment, training, and education resources. The centers are located in Canton and New Philadelphia. WIA staff fulfill roles that directly assist job seeker and business customers with their workforce needs.
