The basic function of the Data Specialist I is to support the accuracy, organization, and maintenance of Certrecs regulatory and operational data libraries across multiple SaaS platforms. The Data Specialist I is responsible for processing documents, performing routine data updates, conducting quality checks, and supporting database integrity to ensure clients and internal teams have access to current and reliable information. The Data Specialist I reports to the Customer Support & Data Services Manager and works closely with team members to support daily processing workflows and data management tasks. It is expected that the Data Specialist I will support the following areas: Processing and updating documents across Certrec systems. Completing assigned workflow tasks accurately and on schedule. Supporting routine database maintenance and quality assurance activities. Requesting updates to guidelines or procedures when workflow changes occur.JOB REQUIREMENTS

A high school diploma or higher.Experience Required:
0-2 years of experience in data entry, document processing, administrative support, or related operational work. Skills, Knowledge, and Abilities Attention toDetail:
Ability to maintain high levels of accuracy while processing large volumes of data and documents.Communication Skills:
Ability to clearly communicate in writing and verbally in English, including requesting workflow updates when needed.Multi-tasking:
Ability to manage multiple assignments and meet deadlines in a structured environment.Interpersonal Skills:
Ability to work collaboratively with team members and other departments.Computers & Software:
Basic working knowledge of Microsoft Excel, Outlook, and Word, with the ability to learn Certrec databases, SaaS applications, and internal tools. Ability to work independently with oversight or within a team environment. Physical Requirements Ability to remain in a stationary position for long periods while working at a computer. Ability to operate a computer and other standard office equipment. Ability to occasionally move about the office as needed, if working on site.DUTIES AND RESPONSIBILITIES
The essential functions of the Data Specialist I include, but are not limited to: Processing General Recall, Recall New Build, and Recall GRC documents within assigned Certrec SaaS applications. Completing LRS Document Processing according to established workflows. Performing document and data updates within the Inspection Training System. Processing tasks within the Inspection Management System, ensuring accuracy and timeliness. Supporting License Application, Development, and Tracking (LADT) workflows by processing related documentation. Sourcing, selecting, and posting relevant news articles into designated SaaS applications. Requesting updates to guidelines or procedures when workflow changes occur or when clarification is needed. Conducting periodic quality assurance checks on assigned database libraries to ensure data accuracy and upkeep. Greeting and assisting incoming visitors as backup to the Customer Support Team. Answer all incoming phone calls as back up to the Customer Support Team. Performing other duties as assigned to support departmental and organizational goals.
