Job Description
Position Summary The Production Data Coordinator is responsible for accurately entering, maintaining, and tracking production-related information to support manufacturing operations. This position ensures production data is recorded accurately in the company's ERP system and multiple tracking spreadsheets, providing timely and reliable information to support inventory, production reporting, and operational decision-making. The role serves as a key liaison between Production, Quality, Inventory, and Logistics by ensuring data integrity and supporting efficient manufacturing operations. Essential Responsibilities Enter production data into the company's ERP system accurately and in a timely manner. Maintain and update multiple production tracking spreadsheets and databases. Verify production information for accuracy and completeness prior to data entry. Ensure consistency between ERP data, production records, inventory information, and supporting documentation. Review production documents and communicate with production personnel to resolve discrepancies. Promptly follow up with production supervisors when information is missing, incomplete, or inconsistent. Generate and distribute daily, weekly, and monthly production reports as requested and within established deadlines. Assist with inventory and production record reconciliation. Support communication and data reconciliation among Production, Quality, Logistics, and Inventory teams to ensure accurate and timely production information. Maintain organized electronic and paper production records. Support production supervisors and management by providing accurate production data and reports. Maintain and continuously improve standardized reporting formats, production tracking spreadsheets, and data-entry processes. Identify and report data inconsistencies or process improvement opportunities. Maintain confidentiality of company information and production records. Perform other administrative and clerical duties as assigned to support production operations. Qualifications High school diploma or GED required. Previous experience in data entry, manufacturing, production support, or administrative roles preferred. Experience with ERP systems is preferred but not required. Proficiency in Microsoft Excel, Word, and Outlook. Intermediate Microsoft Excel skills preferred, including Pivot Tables, VLOOKUP/XLOOKUP functions, sorting, filtering, and basic data analysis. Strong attention to detail with a high level of accuracy. Excellent organizational and time management skills. Ability to prioritize multiple tasks and meet deadlines. Strong communication and interpersonal skills. Ability to work independently with minimal supervision and as part of a team. Physical Requirements Ability to sit for extended periods while working at a computer. Frequent use of hands and fingers for keyboarding and data entry. Ability to view computer screens for extended periods. Occasionally lift or move up to 20 pounds. Ability to walk throughout the production facility as needed. Ability to occasionally stand, bend, and reach while retrieving files or production documents. Working Conditions Primarily works in an office environment within a manufacturing facility. Regular interaction with production employees, supervisors, Quality, Inventory, Logistics, and management. Occasional exposure to manufacturing areas requiring compliance with all company safety policies and the use of appropriate personal protective equipment (PPE). Additional Expectations Maintain a high level of accuracy and attention to detail. Complete daily production data entry, reporting, and reconciliation activities accurately and within required deadlines. Demonstrate professionalism, dependability, and confidentiality. Follow all company policies and safety procedures. Work collaboratively with Production, Inventory, Quality, Logistics, and Administrative teams. Contribute to continuous improvement by identifying opportunities to streamline data collection, reporting processes, and data-entry workflows. Demonstrate ownership of production data by ensuring ERP information, production records, and inventory data remain accurate and aligned. Represent the company by maintaining accurate, timely, and reliable production records. Schedule Monday through Friday from 8 am to 5 pm (on call as needed)
