Job Description:
Reporting to the Director of Conference and Auxiliary Services, the Assistant Director serves as the primary contact for third party entities seeking to rent and use campus space for an event. This position also oversees the use of campus space for all campus units and students. Provides excellent customer service to all customers internal and external to the campus. Responsibilities Serve as the primary contact for third party entities seeking to rent and use campus space for events such as but not limited to summer camps, meetings and celebrations (e.g., weddings, baby showers). Manage operations and logistics for all third-party events to include but not limited to billing, facility use and preparation and clean-up, room assignments and linens, food service, audio visual, security, and other needs. Plan, establish and maintain the master calendar of reservations to ensure campus needs and contractual obligations are met. Provide support as needed for the Event Scheduling and Set-Up Coordinator to include but not limited to coordinating and executing event set-up details, and scheduling and assisting student workers. Serve as a back-up to receive and input information in the Campus Space Scheduling system. Develop printed and non-printed promotional materials and enhancements to the website to generate external interest in renting and using campus space. Provide effective leadership to ensure that the department continues to operate effectively in the director's absence. Effectively communicate with colleagues internal to department as well as event contacts. Provide support for events sponsored by external entities. Other duties as assigned. Serve as the supervisor of record for the Event Scheduling and Set-up Coordinator. Develop and maintain job descriptions for assigned positions. Hire, train, supervise, and make disciplinary decisions for all reporting staff. Plan, direct and review work of assigned staff. Provide feedback on performance and approve timesheets. Maintain training manual that addresses day-to-day operations, emergency procedures and customer relations. Report any information about a potential, active or previously known conduct that may reasonably constitute discrimination, harassment or retaliation on the basis of actual or perceived race, color, creed, religion, national origin, ancestry, citizenship status, age, sex (including all conduct prohibited by Title IX), gender (including pregnancy, childbirth, parental status related medical conditions and lactation), gender identity or gender expression, sexual orientation, marital status, military service and veteran status, disability, protected medical condition or any other characteristic protected by local, state or federal legislation. Campus Security Authority Responsibilities Designated as a "mandatory reporter", otherwise known as a Campus Security Authority, to report any information about potential, active or previously occurring crime(s) on campus as defined through federal regulation to the Department of Campus Safety immediately upon learning about them.
Information Security Role:
Data User Follow the policies and procedures established by the appropriate Data Stewards. Comply with federal and state laws and regulations as well as College policies, procedures, and standards associated with the College computing resources and institutional data used. Use institutional data only as required for the conduct of college business within the scope of employment. Implement safeguards prescribed by appropriate Data Stewards for Limited Access and Restricted Data. Ensure the appropriateness, accuracy, and timeliness of institutional data used to conduct College business. Report any unauthorized access, data misuse, or data quality issues to the appropriate Data Steward for remediation. Accept and complete the confidentiality statement yearly if access includes Restricted data. Report any suspected data breach to the CIO and the IT Help Desk as soon as possible. Other duties as assigned.
Requirements:
Qualifications Bachelor's Degree in related field or equivalent years of related experience required. Three or more years of related experience required, and higher education experience preferred. One or more years of supervisory experience required. Demonstrated interpersonal and communications skills and ability to be effective with verbal and written communications. Demonstrate cultural awareness and sensitivity working with individuals of diverse identities. Intermediate computer skills (MS office, internet, database). Ability to work effectively and productively in a collaborative team capacity with creative approaches to organizational development opportunities and conflict resolution. Demonstrated ability to effect innovative solutions to operational issues. Must have valid driver's license with less than 2 points. Able to work evenings and weekends as needed. Working Conditions While performing the duties of this job, the employee is routinely working in a normal office environment with minimal exposure to adverse conditions. The noise level in the work environment is usually minimal. Occasional exposure to outdoor weather conditions. Physical Abilities The physical demands described below are representative of those that must be met by an employee to successfully perform the essential functions of this job: Sitting for long periods of time. Ability to rearrange furniture or other equipment weighing up to 20 pounds at a time. Finger dexterity for typing and use of other office equipment.
