12 Month Position Summary
The Receptionist | Bookkeeper | Data Manager provides essential clerical, reception, and basic financial support to ensure the smooth day-to-day operation of Phoenix Academy. This position serves as a welcoming first point of contact for students, families, staff, and visitors while providing administrative support to the principal and school staff. The position also assists with routine school financial transactions, records, purchasing, and payroll-related tasks in accordance with district procedures.
Essential Duties
Receptionist
Greets students, families, staff, and visitors courteously and directs them to the appropriate person or location.
Answers and routes telephone calls, responds to routine inquiries, and records messages as needed.
Monitors the front office and reports unusual or suspicious activity to the appropriate administrator.
Provides courteous and helpful customer service to students, families, staff, vendors, and community members.
Bookkeeper
Receives, records, verifies, and deposits school receipts and other school-generated funds in accordance with district procedures.
Maintains accurate records for school activity and other assigned accounts.
Processes routine purchase requisitions, invoices, and other financial documents as assigned.
Maintains documentation for purchases, receipts, and financial transactions.
Assists with payroll-related timekeeping and employee absence entries as assigned.
Maintains confidentiality of student, personnel, and financial information.
Follows North Carolina School Accounting System requirements, Board policies, and district procedures related to assigned financial responsibilities.
Data Manager
Perform work in the North Carolina Student Information System (NCSIS - Infinite Campus):
Verify and edit student information including records for attendance, contacts, and grades, and process other student information
Support school staff in collaboration with other school personnel on the basics of using NCSIS
Produce and send student reports including, but not limited to, report cards and progress reports
Produce data for reports for school needs
Maintain confidentiality and security of student data.
Attend district data manager meetings, district/state conferences, and training sessions
Follow all procedures as prescribed by the school principal, district-level director, and state policy
Perform other related duties as assigned by the school principal and/or designee
Education/Experience Requirements
High School Diploma/GED required
Detailed oriented with exceptional organizational skills
Strong analytical and problem-solving skills
Multi-task to meet deadlines for groups like school admin and central office
Experience working in a school or educational setting preferred.
Clerical, secretarial, bookkeeping, or related office experience preferred.
Ability to communicate effectively and work courteously with students, families, staff, and visitors.
Ability to maintain accurate records and handle confidential information appropriately
Such alternatives to the above qualifications as the Board may find appropriate and acceptable
Physical Requirements
Must be able to physically perform the basic operational functions of stooping, kneeling, crouching, reaching, standing, walking, hearing and repetitive motion
Ability to lift a minimum of 20 pounds
Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards
Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards
Must be able to talk, listen and speak clearly on telephone
