The Project Coordinator provides day-to-day project management and administrative support for a multi-stakeholder research dissemination project. This role coordinates schedules, meetings, deliverables, documentation, and partner communications so the project team stays aligned and work progresses on time.
- Project coordination: Maintain project plans, timelines, and action-item trackers; follow up with owners to support on-time completion of deliverables.
- Meeting and agenda management: Schedule recurring and ad hoc meetings; draft agendas with the project lead(s); capture notes/decisions; publish action items and next steps.
- Partner and stakeholder coordination: Support communications with internal and external partners; track points of contact and engagement status.
- Documentation and file management: Organize project files; maintain version control for key documents; ensure meeting notes, decisions, and key materials are easy to locate.
- Review and approval support: Help route drafts for internal review, track feedback, and consolidate comments for the project team.
- Light research and quality checks: Support basic desk research, formatting, proofreading, and consistency checks for memos, slides, and draft deliverables.
- Dissemination and event support: Assist with planning logistics for briefings, workshops, or convenings (virtual or in-person), including run-of-show documents, participant lists, and follow-ups.
- Administrative support: Track tasks and other project paperwork; support preparation of routine status updates.
Qualifications:
- 2+ years of experience in a project coordinator, program coordinator, or administrative project support role (research, policy, or nonprofit experience a plus).
- Strong organizational skills and attention to detail; ability to manage multiple workstreams and deadlines.
- Excellent written and verbal communication skills, including clear meeting notes and professional partner correspondence.
- Comfort working with ambiguity and proactively surfacing risks, dependencies, and schedule conflicts.
- Ability to handle confidential information with caution.
- Proficiency with Microsoft 365 tools (Outlook, Teams, Word, Excel, PowerPoint); experience with SharePoint and project trackers (e.g., Smartsheet, Planner) preferred.
- Must have strong organization skills and attention to detail.
