Job Description

Overview Fourth and Hope is seeking an organized, dependable, and personable Admistrative/Volunteer Services Coordinator to join our team. This position reports directly to the HR/Payroll Manager and provides administrative and clerical support within the administrative office while coordinating the organization's volunteer services. Responsibilities Provide direct administrative and clerical support to the HR/Payroll Manager. Provide general administrative assistance to managers within the administrative office as assigned and coordinated through HR/Payroll Manager.
  • Assist with scheduling interviews, meetings, appointments, and other administrative activities.
  • Contact candidates as directed to coordinate interview dates and times and communicate basic scheduling information.
  • Prepare, copy, scan, print, organize, and file documents and forms.
  • Maintain organized electronic and physical filing systems and assist with routine recordkeeping and document tracking.
  • Answer direct telephone calls, take messages, greet visitors, and provide general front-office support as needed.
  • Prepare meeting rooms, agendas, packets, sign-in sheets, and other meeting materials; take meeting notes when requested.
  • Assist managers with routine clerical projects, document preparation, copying, filing, scheduling, and follow-up as needed.
  • Assist with maintaining office supplies and submit or communicate supply needs as directed.
  • Maintain confidentiality of employees, applicant, client, volunteer, and organizational information.
  • Support administrative projects and day-to-day office operations as assigned by the HR/Payroll Manager
JOB DUTIES

Volunteer Services Coordination:
  • Locate, develop, and maintain networks and partnerships with relevant service providers, community and religious organizations, businesses, and educational institutions.
  • Recruit, screen, interview, orient, train, and schedule volunteers to support organizational needs, program operations, and special events.
  • Ensure volunteers are appropriately matched with assignments and trained for their assigned responsibilities through orientation and continuing education.
  • Coordinate volunteer schedules and communicate assignments, expectations, changes, and organizational needs to volunteers.
  • Maintain complete and up-to-date volunteer records, including required documentation and accurate tracking of volunteer hours.
  • Assist with volunteer coordination and communication, including volunteer recognition, engagement, and retention.
  • Promote volunteer opportunities and assist with recruitment initiatives to attract new volunteers.
  • Coordinate volunteer resources for community engagement activities, organizational events, fairs, and special events as needed.
  • Monitor volunteer participation and activities to ensure services are consistent with Fourth & Hope's mission, policies, procedures, expectations, and core values.
  • Maintain professional relationships and communication with volunteers, community partners, service providers, businesses, and educational institutions.

Knowledge, Skills, and Qualifications:
  • High school diploma or equivalent required; college coursework or an associate degree in business, administration, human resources, social services, or a related field preferred.
  • At least one year of administrative, clerical, office support, customer service, volunteer coordination, community engagement, or related experience preferred.
  • Strong organizational and time-management skills with the ability to prioritize multiple assignments.
  • Excellent interpersonal, customer service, verbal, and written communication skills.
  • Detail-oriented with the ability to maintain accurate records and follow established procedures.
  • Proficient in Microsoft Office Suite, including Word, Excel, and Outlook, or related software.
  • Ability to maintain confidentiality and appropriately handle sensitive information.
  • Ability to work independently while also supporting multiple managers and collaborating as part of a team.
  • Ability to communicate effectively with and coordinate volunteers from diverse backgrounds.

  • Must possess a current and valid California driver's license and an acceptable driving record when driving is required for assigned duties.
  • Must pass required criminal background screening.
  • Must meet minimum requirements to access and use applicable organizational data-entry systems.
  • Must complete required pre-employment screening and other employment-related testing consistent with organizational policy and applicable law.
  • Must be insurable by Fourth & Hope insurance carriers when applicable.
  • Must provide documentation establishing authorization to work in the United States as required by law.
  • Must provide required T.B. clearance when applicable.
  • Must be able to support occasional evenings or weekend volunteer activities or special events as needed.
  • Other requirements as necessary to maintain compliance with applicable regulations, contracts, grants, and partner agreements.

Pay:
$25.00 per hour Expected hours: 40.0 per week
