Program Overview:
The Information Technology team supports Henry Street's enterprise business and data platforms, including case management, client services, CRM, HR, finance, collaboration, and city- or funder-mandated systems. These platforms support critical program operations and may contain confidential, sensitive, or regulated information, including protected health information (PHI/ePHI). Through strong application governance, data quality, security, system optimization, and user support, IT helps ensure that information is accurate, appropriately protected, and available to support service delivery and informed decision-making.
Job Summary:
Henry Street Settlement is seeking a hands-on Data Systems Administrator to administer, secure, and improve the enterprise applications and data platforms used across more than 50 programs in social services, education, arts, and health care. Reporting to the Director of Information and Technology, this role will serve as a key technical administrator for business and client-data systems, including AWARDS, Client Track, CRM, and other SaaS platforms. The Administrator will manage application configuration, user access, data integrity, system documentation, integrations, reporting support, and application-level security and privacy controls. The role will work closely with program teams, Compliance, organizational leadership, vendors, and IT colleagues to ensure systems containing confidential or regulated information, including PHI/ePHI where applicable, are appropriately governed and supported. The position will also support Microsoft 365 data and collaboration services, including SharePoint Online, OneDrive, Teams, Entra ID, and Purview, particularly where those platforms intersect data governance, access management, records management, and information protection. Responsibilities Serve as a primary technical administrator for Henry Street's business and data systems, including AWARDS, Client Track, CRM, client-service, case-management, and other agency applications. Configure and maintain assigned applications, including user accounts, roles, permissions, workflows, system settings, integrations, and application functionality. Partner with program and administrative teams to understand operational and reporting requirements and translate those needs into effective system configurations and improvements. Maintain and improve data quality, integrity, reporting accuracy, validation processes, and resolution of data inconsistencies or anomalies. Coordinate with application vendors on configuration, troubleshooting, integrations, upgrades, security issues, product changes, and technical escalations. Administer systems containing confidential, sensitive, or regulated information, including PHI/ePHI where applicable, in accordance with Henry Street policies and applicable requirements. Manage application access, security groups, roles, and permissions using role-based access and least-privilege principles. Participate in periodic user-access and privileged-access reviews in coordination with IT leadership, Compliance, system owners, and program leadership. Maintain appropriate application audit logging and activity records and assist with producing evidence for security assessments, compliance reviews, audits, and investigations. Participate in HIPAA Security Risk Analyses, security assessments, and remediation activities for assigned applications by documenting controls, providing evidence, identifying deficiencies, and implementing assigned corrective actions. Identify and escalate suspected unauthorized access, inappropriate data use, privacy/security events, or data-integrity issues according to established incident-response procedures. Maintain current documentation of application ownership, configurations, integrations, data flows, interfaces, data classifications, access models, administrative procedures, and system dependencies. Develop and maintain standard operating procedures and administrative knowledge necessary for sustainable support and continuity of assigned systems. Support development and implementation of data-management, application-governance, retention, privacy, and security procedures in partnership with IT leadership, Compliance, program teams, and system owners. Support business continuity and disaster-recovery planning for assigned applications, including documentation of vendor dependencies, recovery capabilities, and critical data requirements. Support Microsoft 365 services that intersect with organizational data and information management, including SharePoint Online, OneDrive, Teams, Entra ID, and Purview. Support SharePoint and Teams information architecture, permissions, data governance, records management, retention, and secure collaboration requirements. Configure and support applicable Microsoft Purview capabilities, including retention, data loss prevention, information protection, and related information-governance controls. Troubleshoot and resolve assigned Microsoft 365 issues and collaborate with other IT team members on identity, endpoint, messaging, and security matters as appropriate. Additional duties as assigned.
Essential Physical Job Functions:

Requirements Associate degree or higher in information technology, Computer Science, Information Systems, or a related field, or equivalent relevant professional experience. 3+ years of hands-on experience administering enterprise SaaS, case-management, CRM, client-services, healthcare, human-services, or other line-of-business applications. Experience administering business applications, including system configuration, user accounts, roles, permissions, workflows, application support, and vendor coordination. Experience supporting systems containing confidential, sensitive, healthcare, client, or otherwise regulated information. Demonstrated understanding of data governance, data quality, access control, least privilege, retention, security, privacy, and compliance principles. Experience producing reports, validating data accuracy, troubleshooting data-quality issues, and supporting data-management processes. Experience documenting systems, configurations, data flows, integrations, administrative procedures, and access models. Working experience with Microsoft 365 services such as SharePoint Online, OneDrive, Teams, Entra ID, or equivalent enterprise collaboration and identity platforms. Strong troubleshooting, communication, documentation, stakeholder-management, and problem-solving skills. Ability to translate operational and program requirements into appropriate system configurations and solutions. Ability to manage competing priorities, follow established governance and change processes, and communicate risks, dependencies, and blockers appropriately.
Preferred Candidate Qualifications:
Bachelor s degree in information technology, Computer Science, Information Systems, or a related field. Experience administering Foothold AWARDS, Client Track (Case Worthy), electronic health records, case-management systems, CRM platforms, or comparable human-services applications. Experience working in healthcare, behavioral health, human services, nonprofit, or other regulated environments. Experience supporting applications subject to HIPAA, Financial, or comparable privacy/security requirements. Experience with system integrations, APIs, data exchange, reporting, data-quality initiatives, or application modernization. Experience with Microsoft 365, SharePoint Online, Purview, Entra ID, or Microsoft information-governance technologies. Microsoft certifications such as SC-300, SC-400, MS-102, or equivalent are a plus. Experience supporting migrations or modernization initiatives involving cloud-based collaboration or business applications.
