In this role, you will manage and administer warranty claims for Modula products while serving as a key resource for customers, distributors, and Certified Dealers. The Specialist will evaluate warranty claims, determine eligibility, coordinate resolutions, and work closely with Service, Engineering, Quality, and Supply Chain teams to resolve issues efficiently. This position also helps monitor service and warranty performance across Modula's installed base and identify trends that can improve product quality, service, and the overall customer experience. The ideal candidate is organized, analytical, an excellent communicator, and comfortable balancing customer service with policy, documentation, and business requirements. What You'll Do Serve as a primary customer-facing contact for warranty-related questions, claims, and resolution status. Review, evaluate, and process warranty claims submitted by distributors and Certified Dealers. Verify warranty eligibility based on product terms, timelines, service history, and contractual agreements. Communicate clearly and professionally with distributors and customers regarding claim requirements, approvals, denials, and next steps. Coordinate with Service, Engineering, Quality, and Supply Chain teams to investigate warranty issues and determine appropriate corrective actions. Authorize warranty repairs, replacements, credits, or returns in accordance with company policies and approval levels. Review and maintain complete warranty documentation, including service reports, photographs, and supporting information. Monitor warranty costs and identify trends, recurring issues, and opportunities for product or process improvements. Support monitoring of warranty and service performance for the installed base managed by Certified Dealers. Assist with trend analysis and escalation of recurring warranty or service issues. Support warranty reporting, audits, and compliance activities. Provide data-driven insights related to warranty performance and customer feedback. Contribute to continuous improvement initiatives across warranty and service operations. Follow all established department and company policies and standard operating procedures. Perform other duties as assigned.
What We're Looking For Required Qualifications:
Bachelor's degree in Business, Accounting, Engineering, or a related field. 2+ years of experience in customer service, warranty administration, technical support, or a related role, preferably within a manufacturing or industrial environment. Experience communicating with customers or distributors regarding service issues, claims, or problem resolution. Excellent verbal and written communication skills. Strong customer service mindset and the ability to manage challenging conversations professionally. Exceptional attention to detail and accuracy in documentation, data entry, and recordkeeping. Strong organizational and time-management skills with the ability to manage multiple claims and priorities simultaneously. Analytical and problem-solving skills, including the ability to investigate issues, assess warranty eligibility, and support root-cause analysis. Proficiency with Microsoft Office, including Outlook, Word, and Excel. Ability to work independently while collaborating effectively with cross-functional teams.
Preferred Qualifications:
Experience with warranty administration, Return Material Authorization (RMA), or service operations. Experience working in a manufacturing, industrial, automation, or equipment environment. Experience with SAP, Salesforce, or another ERP/CRM system. Experience working with distributors, dealers, or a dealer service network. Familiarity with technical documentation, service reports, and equipment troubleshooting.
