Under general supervision, the Department Assistant provides a variety of administrative and organizational support activities for the Flight Technologies department, including staff under multiple managers. This role maintains records, coordinates activities, prepares reports and presentations, manages digital content, and supports the smooth operation of the department.
DUTIES & RESPONSIBILITIES
- + Coordinate administrative activities for several groups within Flight Technologies.
+ Gather, collect, record, track, and verify data and information from multiple sources. + Track, coordinate, and report on the progress of unit work assignments and/or projects. + Maintain and update a variety of confidential and sensitive electronic and/or hard copy reports and records. + Maintain and update staffing spreadsheets to track department headcount, assignments, and changes. + Prepare requested electronic and hard copy reports, presentations, and correspondence. + Respond to routine verbal and written requests for information from internal sources. + Provide data and information requiring some explanation or interpretation. + Assist with travel planning, booking, and preparing travel itineraries for department staff; serve as a point of contact for Concur/travel questions for the department. + Prepare, submit, and track expense reports for department personnel. + Coordinate IT equipment and software orders, including tracking delivery, setup, and inventory with IT support; serve as initial liaison with IT for hardware issues. + Serve as department SharePoint contact and designer for the FT Site. + Serve as department Confluence contact, maintaining and updating the FT main page and adding new content. + Provide vendor and contractor support, as needed. + Expedite ITS escalations, including admin rights and developer account requests. + Pick up items in Receiving. + Provide back-up support for other administrative staff as needed. + Assist with onboarding new department employees by coordinating workspace, equipment, and orientation materials. + Organize and schedule meetings, including reserving conference rooms and preparing meeting materials. + Assist with planning and logistics for department events, training sessions, or team-building activities. + Arrange intradepartmental transfer of equipment. + Interact with management and representatives of outside organizations as needed. + Ensure compliance with all laws, regulations, and company obligations. + Work both independently and collaboratively as part of a team. + Perform other duties as assigned or required. Job Qualifications:
- + Typically requires a high school diploma or equivalent and two or more years experience in a field related to the specialized functional area or unit where assigned.
+ Broad understanding of administrative principles, theories, and concepts. + Strong organizational skills and ability to set priorities. + Ability to grasp new concepts quickly and maintain confidentiality. + Good analytical, interpersonal, verbal, and written communication skills. + Proficiency with computer operations and standard office applications. + Proficient with Excel spreadsheet generation and troubleshooting. + Ability to work extended hours as required.
