Job Description

The Deduction Analyst is responsible for reviewing, researching, and resolving customer shortage and overage deduction claims in a timely and accurate manner. This role partners closely with Customer Service, Operations, Accounting, and other internal departments to gather supporting documentation, validate claims, identify root causes, and support corrective actions. The Deduction Analyst I maintains detailed claim records, updates the Deduction Management System, prepares weekly findings for management, and provides monthly summaries and trend analysis to help reduce recurring chargebacks and improve process accuracy.
Schedule:
Monday through Friday from 8:00am to 5:00pmResponsibilitiesReview current shortage/overage claims for every customer.

Coordinate with customer service, operations and other departments to process shortage/overage claims accordingly.

Providing customer service with the information (item, qty and price) needed to issue credit for valid shortage deductions in a timely manner.

Work with Operations and other departments on root cause analysis of shortages/overage chargebacks including resolution implementation.

Maintain a log of shortage/overage claims for all customers.

Review/challenge shortage/overage claims in Deduction Management System.

Collect supporting documents, research and present findings to management on a weekly basis.

Ensure worklist is being reviewed in a timely manner.

Update reviewed claims with any research or supporting backup documentation.

Approve and deny shortage/overage deductions in Deduction Management System once reviewed with management.

Gather supporting claim information from the various portals (Imigit, Load Proof, Manhattan
SCI, JDA QA
)Communicate any Deduction Management System errors or missing information to Accounting Department.

Summarize shortage/overage deductions monthly and review with the department responsible for correcting the issue(s), including by site.

Provide management with trend analysis on shortage chargebacks.

Perform additional duties as requested.

RequirementsHigh school diploma or GED 2-3 years of relevant experience in an office environmentWorking knowledge of Microsoft Office Suite; Outlook, Excel, Word, PowerPoint, and Access. In addition, Teams, Smartsheet.

Intermediate excel skills; pivot tables and VLOOKUP'sExperience working with an order management software, Deduction Management System and ERP (NetSuite) system and other company systems applicable.

Comfortable multi-tasking and prioritizing tasks without guidanceAbility to contribute positively as part of a team, helping with various tasks as required.

Excellent written and verbal communication skills, with the ability to collaborate effectively with internal teams and external partners.

Strong analytical and problem-solving skills, with the ability to research claims, evaluate supporting documentation, identify root causes, and recommend solutions.

Highly organized and detail-oriented, with the ability to manage multiple priorities, meet deadlines, and maintain accurate records.

Sound judgment and decision-making skills, with a results-oriented approach to resolving deductions and chargebacks.

Self-motivated team player with a strong work ethic, professionalism, and willingness to support department needs as required.

Ability to remain professional and adaptable in a fast-paced environment.

Some travel may be required.
Pay and Benefits:
US$24.50 - US$25.50 HourlyFinal compensation offered will be determined based on a number of job-related factors, including the candidate's skills, experience, and qualifications. Employees in this role are eligible to participate in the company's benefits program, which includes medical, dental, and vision insurance, 401(k) with company matching, accrued vacation, floating holidays, and designated company holidays.
