Quotation Specialist Job Description The Quotation Specialist prepares accurate and timely price quotes and project estimates within an electronics manufacturing environment. This role reviews customer requests, analyzes what is required to build electronic products, and translates that information into detailed quotations and bills of material. The Quotation Specialist works closely with procurement, production, and inventory teams, maintains data in an MRP/ERP system, and provides responsive communication to both internal stakeholders and external customers. Responsibilities Prepare detailed price quotes and project estimates based on customer Statements of Work (SOW). Build accurate bills of material (BOM) for electronic assemblies, including printed circuit boards, mechanical components, and custom parts. Source component pricing and lead times from approved suppliers, taking minimum order quantity (MOQ) requirements into account. Use the M1 MRP system, or similar ERP tools, to manage customer data, supplier records, and pricing information. Collaborate with procurement, production, and inventory teams to validate quote accuracy and ensure all details align. Review customer requests and break down the materials, labor, and processes required to build the product. Check supplier lead times and availability to ensure quotes reflect realistic delivery expectations. Follow up on open quotations and revise pricing as customer requirements evolve or new information becomes available. Triage incoming Requests for Quote (RFQ) packages, identify missing information, and prioritize next steps. Communicate with vendors, customers, and suppliers via email and phone to clarify requirements and resolve questions. Deliver responsive customer service to both internal teams and external customers, keeping communication clear and timely. Maintain organized records of quotes, BOMs, and related documentation within the MRP/ERP system. Support order tracking and purchase order-related activities as they relate to quoting and estimating. Read and interpret schematics and assembly prints, when applicable, to ensure accurate material and process requirements are captured. Essential Skills 1-4 years of experience in an electronics manufacturing, contract manufacturing, or technical production environment. Proficiency with Microsoft Excel, including the use of formulas, in a recent role. Experience communicating professionally with vendors, customers, and suppliers via email and phone. Familiarity with MRP or ERP systems such as M1, Epicor, NetSuite, SAP Business One, or similar platforms. Ability to build and manage bills of material (BOM) for electronic assemblies. Understanding of order tracking, purchase orders, and basic supply chain processes. Ability to interpret technical information from customer Statements of Work (SOW) and RFQ packages. Strong attention to detail and accuracy when compiling pricing, lead times, and material requirements. Effective organizational skills to manage multiple RFQs and quotations simultaneously. Clear written and verbal communication skills to coordinate with internal teams and external partners. Additional Skills & Qualifications Prior experience in a quoting, estimating, or pricing analyst role. Experience in roles such as buyer, production planner, procurement coordinator, or inside sales support specialist. Direct experience with the M1 ERP system by ECi. Knowledge of printed circuit board (PCB) assembly, electronic components, or custom manufacturing processes. Ability to read and interpret schematics and assembly prints. Comfort working in a small, close-knit company environment. Customer service mindset with a focus on responsiveness and relationship-building. Work Environment This position is fully onsite, Monday through Friday, with typical working hours of either 7:30 a.m. to 3:30 p.m. or 8:00 a.m. to 4:00 p.m. The role is based in a small company of approximately 50 employees, creating a close-knit and collaborative atmosphere where team members work closely across functions. You will have your own office area, providing a focused space for reviewing RFQs, building BOMs, and managing data in the M1 MRP or other ERP systems. The environment centers around electronics manufacturing, including PCB assemblies and related components, and involves frequent interaction with procurement, production, and inventory teams.
