Job Summary Purpose:
Own and drive the execution of firm-wide projects, systems, and COO priorities so ideas turn into implemented, adopted, and measurable business improvements without chaos, delays, or dropped balls.

Run the firm's project and execution engine by coordinating people, timelines, technology, and leadership priorities so strategic initiatives move from planning to reality and the COO is free to focus on growth, leadership, and performance.   • Removing bottlenecks before they slow the firm To be successful in this role, the individual must be able to perform the essential duties of the role and meet the performance expectations of the seat.
The requirements below represent the knowledge, skills, and abilities required. Essential Responsibilities Executive & COO Support Manage and protect the COO's calendar, priorities, and follow-ups. Prepare agendas, materials, and notes for leadership meetings, project meetings, and key sessions. Track and follow up on COO-assigned action items across departments. Ensure nothing falls through the cracks for executive-level initiatives. Project & Initiative Execution Own timelines, milestones, and deliverables for firm-wide projects. Track progress, surface risks, and push work to completion. Coordinate cross-department teams to keep initiatives moving. Ensure projects close with documentation, training, and handoff. Technology & Systems Enablement Support rollout, adoption, and optimization of technology, automation, and workflows. Partner with IT, Finance, Legal Ops, and Marketing to ensure systems work together. Track and manage tech-enabled projects, migrations, and process improvements. Cross-Department Coordination Act as the connective tissue between departments for major initiatives. Ensure teams have what they need, when they need it, to execute. Identify bottlenecks and escalate or solve before they slow delivery. Process & Documentation Ensure SOPs, workflows, and training materials are created or updated for completed projects. Qualifications & Proficiencies
  • College coursework, Associate's degree, or equivalent professional experience preferred.
  • 2+ years of experience in project coordination, operations, executive support, or business administration.
  • Strong organizational and time-management skills.
  • Ability to juggle multiple projects, deadlines, and priorities without losing control.
  • Proficiency with productivity tools, project trackers, and collaboration platforms.
  • Strong written and verbal communication skills.
  • High level of discretion and professionalism.
  • Comfortable working with leadership and across departments.
