Job Title:
Leave and Disability Specialist Pay Rate:
$32-$40/hr.
Location:
Malvern, PA Work Arrangement:
Hybrid - onsite 3 days per week
Duration:
Temp-to-Perm Schedule:
Monday-Friday, 8:00 AM-5:00 PM (1-hour lunch)
Job Summary:
We are seeking an experienced Leave and Disability Specialist to support the day-to-day administration of employee leave, disability, and time-off programs. This is a temp-to-perm opportunity for a strong leave professional who can manage detailed processes, work with multiple internal and external partners, and ensure leave-related activities are completed accurately and on time. The ideal candidate will have hands-on experience with leave administration, including FMLA, ADA, state Paid Family and Medical Leave programs, disability programs, and company leave policies. Workday experience, particularly Workday Absence Management, is strongly preferred. This position is hybrid, with onsite work required three days per week at the company's Malvern, PA headquarters.
Responsibilities:
Manage the day-to-day administration of leave of absence, disability, and time-off programs. Serve as a resource for HR teams, managers, and employees regarding leave processes, timelines, documentation, and procedures. Support U.S. and Canadian leave programs in coordination with third-party administrators and external vendors. Monitor leave activity, outstanding actions, and administrative deadlines to ensure timely processing. Maintain accurate employee leave information and transactions within HRIS systems. Support Workday Absence Management administration, troubleshooting, testing, and process improvements. Conduct regular audits of leave records, eligibility, payroll information, benefit deductions, and vendor data. Identify discrepancies, data issues, process gaps, and potential compliance concerns and coordinate appropriate resolution. Support compliance requirements related to federal, state, provincial, and local leave programs. Prepare documentation and reporting related to Paid Family and Medical Leave and other applicable leave programs. Reconcile leave, disability, payroll, and vendor information to support accurate processing. Partner with Payroll to validate leave-related pay, deductions, statutory payments, and benefit impacts. Assist with audits and data integrations involving HRIS systems, payroll, third-party administrators, disability carriers, and government agencies. Develop and maintain reports, procedures, job aids, and training materials. Participate in system testing, process changes, and implementation initiatives. Identify opportunities to improve efficiency, accuracy, data quality, and the employee experience. Escalate complex leave claims, accommodation matters, employee relations concerns, legal questions, and policy exceptions when appropriate.
Qualifications:
Progressive experience in leave administration, disability administration, benefits, payroll, HR operations, or a related field. Strong working knowledge of FMLA, ADA, state Paid Family and Medical Leave programs, disability programs, and company leave policies. Experience supporting complex HR or benefits processes in a multi-vendor environment. Experience working with HR, Payroll, HRIS, Benefits, third-party administrators, and external vendors. Workday Absence Management experience strongly preferred. Strong analytical and problem-solving skills with excellent attention to detail. Excellent written and verbal communication skills. Ability to analyze data, identify discrepancies, and resolve issues. Experience creating and maintaining process documentation and standard operating procedures. Knowledge of health and welfare benefits administration and applicable U.S. and Canadian compliance requirements preferred. Strong organizational skills with the ability to manage multiple priorities and deadlines. Ability to work effectively in a hybrid environment and collaborate with onsite and remote teams.
