Job Description
PURPOSE. This position is responsible for the primary point of contact for internal and external constituencies on all matters pertaining to the office of the CEO. Also serves as a liaison to the Board of Directors; monitoring and responding to emails, scheduling and calendaring meetings; organizes and coordinates executive outreach and external relations efforts; and oversees special projects.
PRINCIPAL ACCOUNTABILITIES.
Manage the Business of the Chief Executive Officer Initiate communications, prioritize correspondence, calls, clients and vendors, communicate with internal and external parties, draft letters and documents, research and gather information and assist the CEO in optimizing his/her time and schedule. Communicate with the direct reports of the CEO, resolving issues and acting as a liaison. Coordinate and prepare travel itinerary for the CEO, CFO and other members of the Executive team including arranging meetings and booking hotel rooms, flights, cars, reservations, etc. Maintain the CEO's appointment schedule by planning and scheduling meetings, conferences, and teleconferences. Assist CEO with his/her role(s) in professional organizations and with speaking engagements and other related activities. Prepare, edit, and coordinate presentations for the CEO and other members of the Executive team. Manage all confidential documents, records, and other proprietary and confidential information on behalf of the CEO; maintain the highest level of confidentiality at all times. Coordinate and prioritize investor and analyst communications/conferences. Manage all aspects of the CEO's office operations. Manage the Board of Directors Prepare, edit, and coordinate presentations for Board of Directors meetings. Organize and coordinate meetings for the Board of Directors and associated Committees. Act as liaison to the Board of Directors on behalf of the Company; communicate with directors and resolve concerns. Manage and Coordinate Special Projects Promote the Open Door Policy for all team members, driving a culture in which all employees feel respected and valued; Manage and coordinate Company-wide regular and special meetings and events, such as weekly stand-up meetings, quarterly Town Hall meetings, etc. Manage monthly Executive corporate credit card activity. Prepare reports and materials on a variety of subjects for various purposes including Company meetings. Manage the activities of the Charitable Contributions Committee and charitable activities and projects for the Company. Liaise with various departments to co-manage special projects, such as training events. Produce quality and timely work, collaborating across all Company departments and functions. Perform other duties as requested and assigned. Qualifications and Education Requirements. High school diploma or equivalent. Must be creative and enjoy working in a small, entrepreneurial environment that is member-driven, results-driven, and service oriented. Ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative and organizational skills and the ability to maintain balance among multiple competing priorities. Preferred Skills. Ability to work independently without instructions, as well as within a team environment on projects from origin to conclusion. Ability to work under pressure to conduct a variety of activities and confidential matters with discretion. Anticipation (seeing ahead of time when to "help").
