Job Description
Position Summary We are seeking a dependable, professional, and highly organized Front Desk Receptionist & Medical Courier to support our healthcare practice across our New Lenox and Morris locations . This is a dual-role position combining traditional medical front desk responsibilities with courier duties between our clinic locations. The ideal candidate will provide excellent patient service, support day-to-day front office operations, and safely and reliably transport medications, documents, and other authorized clinical materials between New Lenox and Morris as needed. Regular local driving between New Lenox and Morris is an essential responsibility of this position. Front Desk & Patient Services Greet patients, visitors, providers, and vendors in a professional and welcoming manner. Check patients in and out accurately and efficiently. Complete and update patient registration information, including demographics, insurance, pharmacy information, PCP information, and emergency contacts. Obtain and scan identification, insurance cards, pharmacy benefit cards, and other required documentation. Collect co-pays, deductibles, and patient balances when applicable. Answer incoming calls professionally and route calls and messages to the appropriate team member. Confirm appointments and assist with rescheduling missed appointments. Schedule follow-up visits and diagnostic appointments as directed. Provide patients with appointment information, orders, medication information, and other documentation as appropriate. Maintain confidentiality and comply with HIPAA requirements. Medical Records & Administrative Support Fax, scan, upload, and organize medical records in the electronic medical record system. Process incoming faxes and route information to the appropriate clinical staff. Assist with medical record requests in accordance with clinic policies and HIPAA requirements. Support Medical Assistants, nurses, providers, pharmacy staff, and administrative staff during busy periods. Maintain an organized and professional front desk and waiting area. Assist with general office and operational duties as assigned. Courier & Medication Transportation Serve as an authorized courier between the New Lenox and Morris clinic locations . Pick up and deliver medications and other authorized clinical materials between locations as directed. Transport medications securely and in accordance with clinic procedures and applicable handling requirements. Follow required medication storage and temperature-control instructions during transportation when applicable. Maintain appropriate documentation of medication pickup, transport, and delivery. Follow established chain-of-custody procedures for medications and sensitive clinical materials. Verify that transported items are delivered directly to the appropriate authorized staff member. Immediately report delays, accidents, temperature concerns, damaged packages, missing items, or other transportation-related issues to the appropriate supervisor. Transport medical records, administrative materials, supplies, or other authorized items between locations when requested. Coordinate courier trips with clinic, pharmacy, and clinical staff to ensure medications and supplies arrive when needed. Qualifications High school diploma or equivalent required. Previous medical office, healthcare front desk, or customer service experience preferred. Strong communication and interpersonal skills. Excellent organizational and multitasking abilities. Strong attention to detail and accuracy. Comfortable working in a fast-paced healthcare environment. Ability to maintain patient confidentiality and professional conduct. Ability to work independently and collaboratively with clinical and administrative teams. Comfortable driving regularly between New Lenox and Morris. Valid driver's license required. Reliable transportation required. Must maintain automobile insurance as required by law and company policy. Must have an acceptable driving record. Ability to safely handle and transport authorized medications and clinical materials in accordance with clinic procedures. What We Are Looking For?
