Job Description

Summary of Position The class works under general supervision and requires working knowledge of clerical systems and procedures in order to perform general clerical tasks involving several variables; incumbents are free to make some work procedural decisions which do not contravene policies.
Position Information Essential Functions and Responsibilities:
60% - Performs general clerical tasks; incumbents are free to make some work procedural decisions which do not contravene policies. Processes financial and/or budgetary statements, purchase orders and/or billings; logs, checks, and/or computes totals and/or makes changes in filed data by adding, adjusting, and/or deleting materials; researches files for data or information requested; makes corrections to filed data; logs and codes data; maintains files by purging, consolidating, or creating files; provides preliminary contact with public; provides information; completes routine forms; maintains accurate records. Makes deliveries of mail, packages, print and freight items or assist with daily moving projects as required in daily operations on regular basis and as required. 20% - Performs basic, repetitive clerical tasks; retrieves, opens, stamps, sorts, distributes, and/or sends mail; counts, alphabetizes, separates, collates, codes, sorts, logs, staples and/or stuffs mail, forms, correspondence, and/or filed information; files correspondence, reports, records, cards, documents, or other materials. Retrieves files for requested information or materials; makes minor additions, deletions, and adjustments to filed information or other materials; retrieves and distributes materials; addresses mail; makes photocopies; greets visitors, answers telephone, takes messages, and/or refers calls. Loads and unloads vehicles both inbound and outbound; processes all classes of mail and packages; travels off campus to pick up and deliver to carrier locations (Post Office, FedEx, UPS, etc.). 20% - Acts as a backup through cross-training within department including processing mail/packages, receiving packages and freight from carriers and daily moving projects.
Other Functions and Responsibilities:
Assists with training new hires, both new teammates and new student workers. Performs other duties as assigned and/or required that are within the level of responsibility for this classification at the discretion of the supervisor.
Equipment Operated:
Computer and all other standard office equipment. Golf cart, delivery vehicles including liftgate vehicles, tow motor(
  • ), hand truck, dollies and pallet jacks.
Mail metering machines, folder/inserter, tabbing machine and handheld scanners.
Work Schedule:
Typically, Monday through Friday 7:30 a.m. to 4:00 p.m.
Unusual Work Conditions:
May be exposed to loud or constant noise from machines; may be required to work outside, may be exposed to dust, dirt, inclement weather and extreme temperatures.

Minimum Qualifications:
High School Diploma or GED and at least two years of experience in general office practices and procedures, public relations, and/or other related experience. Valid driver's license and ability to be compliant with the university's insurance policy (i.e. insurable as proven through a motor vehicle record review).
Preferred Qualifications:
At Least 1 year of experience in mail or shipping operations or at least 1 year of office/warehouse experience; tow motor certification.
Physical Requirements:
In accordance with the U.S. Department of Labor physical demands strength ratings, this position will perform medium work.
Medium:
work involves exerting 20 to 50 pounds of force occasionally, or 10 to 25 pounds of force frequently, or an amount greater than negligible and up to 10 pounds constantly to move objects.
