8:00 AM•12:00 PM (rotating schedule among team members) Position Summary The Truck Scale Operator / Dispatcher is responsible for coordinating inbound and outbound truck traffic, accurately weighing and documenting shipments, maintaining transportation records, and providing exceptional customer service to drivers, customers, and visitors. This position serves as a critical communication link between drivers, operations personnel, customers, and transportation providers while ensuring compliance with company policies, safety standards, and regulatory requirements. Essential Duties and Responsibilities Scale Operations Weigh incoming and outgoing trucks using certified scale systems.
Verify loads, weights, and shipment information for accuracy.
Scale trucks in and out while adhering to applicable weight restrictions and company procedures.
Coordinate and document all inbound and outbound shipments.
Assign load and lot numbers and accurately enter shipment information into company databases.
Ensure all Bills of Lading, shipping manifests, packing lists, and other transportation documents are complete and accurate.
Maintain shipment records and supporting documentation. Dispatch and Logistics Coordination Communicate with truck drivers regarding traffic flow, loading and unloading locations, and plant movement.
Track and document trucks and boxes/trailers entering and leaving the yard.
Coordinate truck scheduling and shipment movement with yard/operations personnel.
Monitor transportation activities and communicate delays or issues to management.
Process transportation and logistics information using RIMAS and other company software systems.
Update Excel logs, transportation reports, and shipment tracking records. Administrative Responsibilities Perform heavy data entry and clerical duties.
Organize and maintain paperwork for incoming and outgoing shipments.
Answer incoming telephone calls and respond to emails professionally and promptly.
Greet visitors and direct them to the appropriate personnel or departments.
Maintain confidential files and proprietary company information.
Prepare reports, reconcile records, and compile operational data.
Order and maintain office supplies as needed.
Create employee and visitor badges as required. Customer Service Provide exceptional customer service to drivers, customers, and visitors.
Assist customers and drivers with directions, shipment information, and operational requirements.
Communicate professionally both verbally and in writing. Safety and Compliance Follow all company safety policies and procedures.
Report incidents, injuries, near misses, and unsafe conditions immediately.
Ensure customers, drivers, and employees comply with facility safety requirements and PPE policies.
Maintain a clean, organized, and safe work environment. Additional Duties Support timekeeping and attendance reporting functions as assigned.
Perform routine bookkeeping and reconciliation activities.
Perform other duties as assigned by management. Qualifications Required High School Diploma or GED.
Minimum two years of customer service.
Strong computer skills including Microsoft Office Suite.
Excellent data entry and organizational skills.
Strong written and verbal communication skills.
Ability to multitask in a fast-paced environment.
Strong attention to detail and accuracy. Preferred Experience in recycling, dispatching, transportation, scale operation, logistics, manufacturing, or industrial operations.
Experience using RIMAS or similar scale management software. Physical Requirements Ability to sit, stand, walk, bend, twist, and move throughout the facility.
Ability to occasionally lift up to 25 pounds.
Ability to work around truck traffic and industrial operations. Work Environment This position is primarily an Office environment. Outside the office is an industrial environment. Employees may be exposed to varying weather conditions, truck traffic, equipment movement, noise, dust, and other industrial conditions. Required PPE may include safety glasses, high-visibility vest, steel-toe boots, hearing protection, gloves, and hard hat as required.
