SNIP Spay & Neuter SNIP Spay & Neuter is a mission-driven, high-quality, high-volume (HQHV) spay/neuter clinic located in Portage, Indiana. Founded in 2021 as a mobile clinic and expanded into a permanent facility in 2024, we provide essential surgical services for pets and support local rescue and TNR organizations. Our front desk team plays a key role in keeping the clinic running smoothly. Veterinary Receptionist We are seeking a friendly, detail-oriented Veterinary Receptionist to join our front desk team in Portage, Indiana. As the first and last point of contact for pet owners and rescue partners, you will help ensure a positive, efficient experience in our high-volume clinic. This full-time, on-site role offers predictable hours (Monday-Friday, no nights or weekends) and the opportunity to work with a values-focused team that provides essential spay/neuter services and supports local rescue and TNR organizations. What You'll Do Client Communication Greet all clients in person as they arrive and answer phones promptly and professionally Handle scheduling and general inquiries with professionalism Use an iPhone to communicate updates with pet owners throughout the day Provide basic education about spay/neuter services, vaccine schedules/general wellness, surgical recovery, and general clinic procedures Communicate standardized pre- and post-operative instructions as directed by veterinary staff Patient Intake & Discharge Check patients in and out efficiently Review consent forms and paperwork for accuracy Ensure proper documentation in our electronic medical record system Assist with dispensing prescription medications, including flea/tick prevention and other treatments, and assist veterinary staff with dispensing and administration support as directed. Administrative Duties Schedule appointments for surgeries and rechecks Log client communications and follow-up notes in patient charts Process payments and reconcile entries in practice management software Assist with inventory notifications and general cleaning of the lobby and workspaces Help maintain a welcoming, organized clinic environment Support training of new reception staff as needed Team Collaboration Support veterinarians, technicians, assistants, and fellow receptionists Communicate respectfully and professionally within a fast-paced, team-centered environment. Occasionally assist with safe animal handling under staff direction Qualifications Prior customer service experience in a veterinary clinic, animal shelter, or similar environment Strong communication and interpersonal skills with the ability to educate clients and relay veterinary instructions professionally Experience working in a fast-paced, high-volume setting Organized, detail-oriented, and professional demeanor Strong computer proficiency, including experience with EMR or veterinary software systems Familiarity with veterinary terminology, vaccine protocols, common medications, and preventative care concepts Comfortable safely handling animals under staff direction Experience with point-of-sale systems and cash handling Experience assisting with inventory tracking or supply organization Preferred Qualifications Experience in high-volume spay/neuter Familiarity with ClinicHQ software Familiarity with productivity, automation, or AI workflow tools Work Environment This is an on-site, client-facing role in a fast-paced, high-volume spay/neuter clinic. You will work closely with veterinarians, technicians, assistants, and fellow receptionists. Candidates must be able to multitask, stay organized, and maintain professionalism while supporting high daily patient numbers.
