Operations Manager Overview The Warehouse Supervisor is responsible for the daily operation and oversight of the Blue Bear Plumbing, Heating & Air warehouse. This role ensures materials, tools, and equipment are properly inventoried, stocked, ordered, and distributed to field technicians, install teams, and subcontractors. The ideal candidate thrives in a fast-paced environment, is detail-oriented, and understands the unique needs of a residential service and install business. This position is mission-critical — the warehouse is the heartbeat of the company. You'll be expected to maximize efficiency, control costs, and keep our trucks, jobs, and techs running without delay. Key ResponsibilitiesInventory & Stock Control Maintain an accurate, up-to-date inventory of all HVAC, plumbing, and related parts, materials, and consumables. Implement and manage barcode or digital inventory systems (e.g., ServiceTitan, Google Sheets, or custom dashboards). Create and manage min/max stock levels and reorder points for high-use items. Perform weekly cycle counts and full quarterly physical inventories. Track and report material usage trends by department or job type. Ensure returned/unused parts are restocked, credited, or assigned to future jobs. Purchasing & Vendor Management Source materials at the best possible prices without sacrificing quality or availability. Build strong relationships with vendors (FW Webb, Ferguson, SupplyHouse, etc.) to leverage pricing, rebates, and credit terms. Negotiate bulk pricing, delivery schedules, and account perks. Maintain awareness of Mass Save and other rebate-eligible product lines to maximize company benefit. Process returns and warranty claims with accuracy and speed to capture full credit value. Maintain organized digital records of all purchase orders, receipts, and RMA documentation. Logistics & Dispatching Oversee daily dispatch of install trucks, service replenishment, and deliveries. Coordinate driver routes for efficiency—balancing time, fuel, and urgency. Stage all materials and equipment 24-48 hours before scheduled installs. Ensure trucks are stocked, organized, and meet company presentation standards ("The Bear Was Here" brand promise). Track tool assignments, calibrations, and returns to prevent loss and downtime. Communicate effectively with the office, install managers, and technicians regarding material availability and job readiness. Organization & Facility Management Maintain a clean, organized, and safe warehouse environment. Create dedicated staging zones for upcoming jobs and completed returns. Ensure flammable or hazardous materials are stored per OSHA and local codes. Manage equipment storage, recycling, and scrap-metal recovery to ensure all revenue is captured. Oversee maintenance of warehouse vehicles, forklifts, and delivery equipment. Systems & Process Improvement Develop and document warehouse SOPs, including receiving, staging, dispatching, and return procedures. Continuously identify and eliminate inefficiencies—simplify the process without sacrificing accountability. Implement digital tracking (scanners, QR codes, inventory tablets) to improve accuracy and visibility. Collaborate with install and service teams to anticipate upcoming material needs and prevent delays. Qualifications Minimum 3-5 years warehouse experience (HVAC, plumbing, or construction industry preferred). Strong knowledge of common plumbing, heating, and air conditioning parts, fittings, and materials. Proven experience in purchasing and vendor negotiations.
Computer-proficient:
Google Workspace, ServiceTitan, Excel/Sheets, and digital inventory tools. Valid driver's license with a clean record. Ability to lift 50+ lbs, operate forklifts, and work in warehouse conditions. Exceptional organizational, leadership, and communication skills. Detail-driven with a mindset for efficiency, accountability, and profitability.
