Job Description

Hiring Administrative Coordinator 1st shift 8a-4:30p (M-F) $22-25hr (BOE) Job Description The Administrative Coordinator supports daily operations in a fast-paced copper foundry by managing customer orders, coordinating outbound logistics, and maintaining accurate financial and shipping records. This role serves as the central point of organization between production, shipping, and customers, ensuring that orders move efficiently from entry through delivery while upholding strong communication and documentation standards. Responsibilities Process customer purchase orders, verify specifications, and maintain accurate and up-to-date order records. Enter invoices into QuickBooks, track customer payments, reconcile accounts, and support month-end financial reporting. Coordinate outbound freight by scheduling trucks, arranging pickups, and preparing accurate bills of lading. Ensure all shipping documentation complies with applicable transportation and DOT-related requirements. Communicate shipping timelines to customers, provide proactive order status updates, and resolve delivery issues promptly and professionally. Align shipping schedules with production output and inventory availability to support on-time delivery and efficient operations. Maintain detailed shipping logs, inventory movement records, and compliance documentation to support audits and operational transparency. Perform shipping and receiving clerk duties as needed, including verifying shipments and coordinating with warehouse or production staff. Provide general administrative support such as answering phones, managing email correspondence, and routing inquiries to the appropriate team members. Assist leadership with administrative tasks, including document preparation, data entry, and report generation. Ensure accurate data entry across systems for orders, logistics, and financial records to support reliable reporting and decision-making. Essential Skills Proficiency with QuickBooks for invoicing, payment tracking, account reconciliation, and basic reporting. Experience with shipping and receiving processes, including preparing bills of lading and coordinating outbound freight. Experience in logistics coordination, particularly truck scheduling and outbound shipment planning. Strong administrative support skills, including answering phones, managing email correspondence, and organizing documentation. Accurate and efficient data entry skills with strong attention to detail. Ability to work effectively in a fast-paced industrial environment and manage multiple tasks simultaneously. Clear and professional communication skills for interacting with customers, production teams, and shipping partners. Organizational skills to maintain records, logs, and compliance documentation accurately.
