Job Description

Job Summary We are seeking a dynamic and highly organized Administrative Officer to join our team! In this vital role, you will oversee a wide range of administrative functions, ensuring smooth daily operations across the organization. Your energetic approach and exceptional organizational skills will help manage schedules, coordinate with staff and customers, and streamline office processes. The ideal candidate is proactive, detail-oriented, flexible and possesses excellent communication skills to support our team effectively. Administrative Officer is responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, office staff supervision and task delegation. Energetic professional who doesn't mind wearing multiple hats. Experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision. Well organized, flexible and enjoy the administrative challenges of supporting work staff, vendors and customers. Duties Manage and coordinate complex scheduling, calendar management, and appointment setting. Oversee office operations, including front desk responsibilities, multi-line phone systems, filing systems, and general clerical tasks. Plan and organize company events, meetings, and training sessions to foster team development and organizational growth. Supervise staff, providing guidance on workflow efficiency, training & development initiatives, and performance feedback. Handle vendor management activities such as negotiating contracts, processing invoices using QuickBooks or similar accounting software, and maintaining vendor relationships. Support human resources functions including onboarding new employees, maintaining personnel records, payroll processing, and assisting with employee inquiries. Maintain accurate bookkeeping records, assist with budgeting processes, and ensure compliance with office policies and procedures. Facilitate effective communication across teams through clear email correspondence, phone etiquette, and internal memos.
Create and send:
estimates, invoices, statements, and purchase orders Schedule pickup and delivery of jobs Manage job timelines and deadlines Handle payables and receivables Manage office supply inventory, ordering, storage, and distribution Process work requests and handles incoming correspondence and packages Receive, distribute, and maintain records and files. Experience Proven experience in office management or administrative roles within a fast-paced environment. Supervising experience with a demonstrated ability to lead teams effectively. Strong proficiency in QuickBooks or comparable bookkeeping/accounting software. Prior experience in event planning and coordinating large or small-scale organizational events. Excellent organizational skills with the ability to multitask efficiently while maintaining attention to detail. Exceptional communication skills—both verbal and written—with a professional phone etiquette approach.
