Administrative Services Manager, New Orleans, LA Federal Government Contractor Opportunity ___________________________________________________________________________________________ The Administrative Services Manager shall provide leadership, management, and oversight of all administrative support activities performed under the contract. The Administrative Services Manager shall be responsible for planning, organizing, directing, coordinating, and monitoring administrative operations and ensuring compliance with agency requirements, records management policies, document control procedures, information security requirements, and contractual obligations.
Duties:
1. Serve as the Contractor's lead administrative support representative and primary advisor to the Program Manager regarding all administrative support activities performed under the contract. 2. Provide leadership and supervision of contractor personnel supporting information publishing, document production, records management, reproduction services, workflow coordination, mail operations, and executive administrative support functions. 3. Establish and maintain administrative processes, procedures, work instructions, and quality control measures to ensure efficient and effective administrative support operations. 4. Manage the preparation, editing, formatting, proofreading, coordination, tracking, and distribution of reports, correspondence, presentations, briefings, and other official documents. 5. Oversee document management, electronic records organization, document retention activities, file management systems, and information publishing operations. 6. Manage contractor support for quarterly and monthly reviews, executive briefings, management meetings, and special events, including schedule development, workflow tracking, document integration, meeting coordination, and final product preparation. 7. Coordinate development and maintenance of annual schedules, calendars of activities, management reporting schedules, and recurring deliverable tracking systems. 8. Ensure timely completion of reproduction services, including printing, scanning, copying, binding, electronic conversion, and distribution of documents. 9. Manage contractor support for records retention activities and the conversion of hard-copy records into electronic formats when required. 10. Manage operation of the customer's mail facility and ensure compliance with postal regulations, and physical security requirements. 11. Monitor postage accountability, mail facility performance metrics, inspection readiness, and operational reporting requirements. 12. Coordinate with DOE management, security personnel, records management officials, program offices, and contractors to ensure effective administrative support services. 13. Develop and maintain administrative performance metrics, workflow tracking systems, management reports, and status dashboards. 14. Support special projects, data calls, management initiatives, and emerging mission requirements as directed by the Government. 15. Ensure all administrative support deliverables are completed accurately, securely, on schedule, and in compliance with applicable directives and contract requirements. ________________________________________________________________________________________
Qualifications:
1. Bachelor's degree in Business Administration, Public Administration, Information Management, Communications, Management, Records Management, or a related discipline; or equivalent professional experience. Equivalent experience may be substituted for a degree at the rate of four (4) years of directly relevant experience for a Bachelor's degree. Candidates without a degree shall possess a minimum of eight (8) years of progressively responsible experience in administrative management, records management, executive support, document control, office operations, information management, or related disciplines. 2. Minimum of five (5) years' relevant professional experience preferably on Federal Government contracts, programs, or projects. 3. Demonstrated experience supporting Federal Government agencies, Department of Energy organizations, Department of Defense organizations, or other highly regulated environments. 4. Experience supporting executive-level meetings, program reviews, briefing development, and management reporting activities. 5. Demonstrated experience developing administrative procedures, performance metrics, process improvements, and quality control measures. 6. Advanced proficiency in Microsoft Office Suite, SharePoint, Teams, Adobe Acrobat, document management systems, and business collaboration tools. 7. Ability to obtain and maintain a Government security clearance at the level required by the contract.
