What We Expect You To Do Operations & Technology Management Manage daily office operations, workflow systems, communications, and staff meetings to resolve bottlenecks. Develop, document, and improve firm policies, procedures, and operational systems. Coordinate office maintenance, equipment, technology, supplies, and relationships with external vendors and IT providers. Human Resources & Employee Relations Oversee full recruiting lifecycle: screen, interview, and recommend candidate hires. Manage onboarding, offboarding, personnel files, HR documentation, and the employee handbook. Coordinate payroll and benefits administration directly with the Bookkeeper. Conduct performance evaluations, address employee relations promptly, and facilitate training and development. Financial Administration & Oversight Oversee billing, collections, accounts receivable, expenses, and budget adherence. Partner with the Bookkeeper on financial administration and trust compliance. Approve routine vendor invoices and employee expense reimbursements. Prepare financial/operational reports and maintain firm insurance, licenses, registrations, and legal records. Strategic Planning & Project Execution Partner with the Managing Partner to implement long-term vision and resolve operational challenges. Build timelines, roadmaps, track project execution, goals, deliverables, and hold teams accountable. Track KPIs and report operational results regularly to Equity Partners. Attorney Development & Staffing Support Administer attorney development, mentorship, evaluations, milestones, and practice plans. Support workforce planning, staffing assessments, promotion readiness, training, and retention activities. Marketing & Client Experience Manage relationships with external marketing vendors and monitor campaign results. Coordinate firm seminars, educational events, business development, and referral programs. Monitor client satisfaction to maintain exceptional front-office service standards. Risk Management & Compliance Ensure compliance with employment laws, data security standards, and firm policies. Coordinate cybersecurity, data backup, and disaster recovery efforts. Maintain high standards of confidentiality for all firm and client information. Professional & Leadership Expectations Serve as third-in-command to Equity Partners, exemplifying values and an authoritative office presence. Supervise, mentor, and hold the Administrative Assistant and Bookkeeper accountable. Communicate proactively and responsively across all organizational levels. Demonstrate reliability, accountability, leadership productivity, continuous improvement, and structural scalability. Handle sensitive data with absolute discretion and confidentiality. Required Qualifications Minimum of three (3) years of office administration or operational management experience. Demonstrated experience in human resources management, recruiting, and employee relations. Solid understanding of legal financial administration, budgeting, and legal billing systems. Proven track record of successful project management and strategic plan execution. High proficiency with modern technology systems, practice management software, and Microsoft Office Suite. Preferred Qualifications Experience supporting a Trusts and Estates, Estate Planning, or Probate Law practice area. Experience managing operations in a small to mid-sized law firm environment. Experience working with Clio and QuickBooks Online. Bachelor's degree in Business Administration, Legal Administration, Human Resources, or a related field. Certified Legal Manager (CLM) designation or progress toward it.
