Experienced Admin Team Leader Job Description Global Procurement & Logistics Global Procurement and Logistics is a fast-paced warehousing and logistics company based in Baltimore. We provide bonded and public warehousing services amongst others. www.gplbwi.com. Caraleena trucking LLC is our sister trucking company which provides trucking and delivery services.
Reports to the:
President/VP The Admin Team Leader is responsible for the day-to-day management and supervision of the Office Team, ensuring work is appropriately allocated, monitored and completed accurately and on time. The role oversees office administration, Drayage coordination, customer service, inbound/outbound administration, inventory, ocean freight and reception, while maintaining effective communication with management, drivers, customers and Warehouse Compliance. Essential Duties & Responsibilities Office Team Management Manage and supervise the Office Team, including the Receptionist and employees responsible for Drayage. Allocate work, establish priorities and ensure appropriate office coverage. Monitor performance, workloads and completion of assigned responsibilities. Provide guidance, support and constructive feedback to employees. Identify training or performance concerns and escalate significant matters to senior management. Ensure effective communication and accountability across the Office Team. Office Operations Oversee the Office Team's administration of: Scheduling Customer Service Inbounds and Outbounds Inventory Ocean Freight Drayage Customer queries and complaints Reception and general office administration Ensure outstanding work and customer matters are followed through to completion. These are the principal office functions identified in your current version. Drayage Manage and supervise employees responsible for Drayage administration and coordination. Act as the main office point of contact for drivers and ensure effective communication between drivers, customers and the Office Team. Ensure pickups, deliveries, containers and outstanding Drayage matters are appropriately coordinated and followed up. Escalate significant operational or customer issues to senior management. Inbounds & Outbounds Oversee the office administration and finalization of all inbound and outbound transactions. Share responsibility with Warehouse Compliance for ensuring all inbounds and outbounds are fully finalized. Follow up on missing documentation, scanning, paperwork and discrepancies. Liaise with Warehouse Compliance where warehouse information or action is required. Customer Service & Reception Ensure customer enquiries, queries and complaints are handled promptly and professionally. Manage the Receptionist and ensure appropriate reception coverage. Ensure calls, visitors, deliveries, messages and general enquiries are handled and directed appropriately. Permits, Licenses & Registrations Oversee annual permits, licenses, registrations and renewals. Maintain a calendar/tracking system of expiration and renewal dates. Ensure renewals are initiated on time and records are maintained. Escalate potential compliance issues or delays to senior management. HR Facilitation Facilitate the administrative new-hire process and issue New Hire Packets. Ensure required new-hire documentation is completed and maintained. Facilitate Form I-9 completion and review the required identification/documentation. Assist with administrative onboarding and maintain confidentiality of employee information. Refer employment, disciplinary, compensation and benefits matters to senior management. Requirements Previous administrative supervisory, Team Leader or office management experience. Experience managing or supervising employees. Logistics, transportation or freight-forwarding experience preferred. Strong organizational, leadership and customer service skills. Excellent written and verbal communication skills. Ability to prioritize, delegate and follow through on multiple responsibilities. Proficiency in Microsoft Office, including Excel. CargoWise or similar logistics software experience desirable. Strong attention to detail and ability to handle confidential information. Willingness to be hands-on when required.
Qualifications:
  • High school diploma or equivalent (Bachelor's degree in a related field preferred).
Experience:
  • Over 20 years experience of Office Administration
  • Over 10 years experience of Data Entry
  • 5 years of Warehouse experience
  • Proven experience in inventory management and data entry preferably within a warehousing and logistics environment.
  • Good mathematical expertise with basic finance skills
  • Proficiency in data entry and inventory management software and Microsoft Office Suite.
  • Exceptional attention to detail and organizational skills.
  • Strong analytical and problem-solving abilities.
  • Excellent communication skills, both written and verbal.
  • Excellent customer services skills
  • Ability to work independently and flexibly as part of a collaborative team.
