JOB DESCRIPTION POSITION
Law Firm AdministratorFLSA/ STATUS
Salaried, Exempt/ Full TimeREPORTS TO
President SUMMARY Responsible for day-to-day firm operations including human resources obligations of the firm, medical insurance, IT and overall building maintenance (including HVAC, cleaning and security). Work with and manage staff, including legal assistants, receptionist and paralegal. Be responsive to requests and requirements of attorneys and CFO in a timely and efficient manner. Perform financial analyses to provide business strategy advice and guidance. Proactively seek out process and business improvements to enhance the effectiveness and efficiency of daily operations and firm performance.ESSENTIAL JOB DUTIES
Financial Analysis and Business Strategy- Develop and maintain understanding of income and expenses to help optimize finances and operations
- Identify business issues and opportunities
Information Technology:
- Help identify and recommend software and hardware updates and changes
- Assist with strategic technology direction
- Manage all IT issues including, regular maintenance services, troubleshooting, monthly spend, new technology acquisition and implementation
- Troubleshoot computer, copier, and telephone problems and perform and/or manage minor installations and upgrades as warranted
- Work with outside IT vendor to establish system best practices and ensure system availability
Human Resources/ Management:
- Manage employees and maintain employee records
- Oversee and assist with staff recruiting and training
- Set up employee offices and work stations
- Coordinate attorney recruiting
- Manage health insurance matters
- Set employee schedules Special Projects and Other Duties as
Assigned:
- Negotiation with outside vendors
- Identify firm problems that need to be addressed
- Manage and monitor service contracts
QUALIFICATIONS
- Bachelor's degree
- At least 5 years of operations management experience in professional services (preferably law firm administration).
- Demonstrated track record of directly supervising multi-disciplinary teams (HR, IT, administrative support, paralegals).
- Direct experience with multi-million-dollar operating budgets.
- Experience negotiating leases, managing service contracts, and supervising building/IT maintenance
- Experience overseeing practice management software, enterprise IT vendors, cybersecurity compliance, and legal AI/workflow automation
- Excellent attention to detail, strong communication and organizational skills and superior analytical skills
- Ability to work independently on several projects simultaneously in a fast-paced, deadline-oriented environment
- Intellectual Property experience a plus
