Responsibilities Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy Maintain accurate records through data entry, spreadsheets, and word processing using productivity software such as Microsoft Office Oversee calendar management for appointments, meetings, and events to ensure optimal scheduling Handle office management tasks including supply inventory, filing systems, and document proofreading to support daily operations Provide excellent customer support by addressing inquiries from families and staff promptly and courteously Utilize computer skills to update databases like QuickBooks for billing or financial tracking as needed Assist with clerical tasks such as typing reports, organizing files, and maintaining office equipment Qualifications Proven office management experience with strong organizational skills and attention to detail Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with productivity software Experience with data entry, spreadsheets, and document proofreading in a fast-paced environment Excellent phone etiquette with the ability to manage multi-line phone systems effectively Bilingual abilities are a plus to support diverse family needs Strong computer literacy including familiarity with QuickBooks or similar accounting software preferred Previous administrative or clerical experience in a childcare or educational setting is advantageous Exceptional time management skills with the ability to prioritize tasks efficiently Join us in making a difference! We're being upfront about how this works, because we've learned that trust and relationships matter more than a fast start. Here's the honest version: when we've hired directors from the outside in the past, there's always a gap — a new person doesn't yet know our families, our staff, or the way we do things here. That gap can hurt the people we care about most: the kids, the teachers, and the parents who trust us every day. So we're doing this differently. You'll start as our Administrative Coordinator — front-desk level work, greeting families, supporting staff, learning our systems and software, and getting to know everyone by name. This isn't a "prove yourself" formality or a demotion of the role. It's the foundation. Relationships and trust come first here, not task completion. Once you and our team have built that foundation — real relationships with staff and families, and a genuine feel for our culture and philosophy — the role grows into Assistant Director , with full responsibility for staff supervision, licensing compliance, CACFP and DES subsidy management, curriculum leadership, and center operations. We can't put an exact timeline on that transition, because it depends on relationships, not a calendar. What You'll Do (Phase One — Administrative Coordinator) Warmly greet families, children, and visitors every day Support daily front-office operations and communications Learn our childcare management software and internal systems Build relationships with current staff across classrooms Get to know our families, their children, and their needs Absorb our center's mission, values, and day-to-day rhythm Assist the current admin team with day-to-day tasks and projects What You'll Grow Into (Phase Two — Assistant Director) Support daily planning, management, and supervision of 20-30 staff and up to 177 children Manage CACFP program administration, billing, and compliance in partnership with kitchen and catering staff Oversee DES childcare subsidy billing with full accuracy and audit-readiness Lead licensing compliance and policy/procedure enforcement Guide curriculum implementation and support teaching staff Build enrollment and manage enrollment processes Participate in interviewing and hiring Lead with structure and consistency families and staff can count on What We're Looking For Someone who values relationships and trust as much as tasks and checklists Strong communication and customer service skills Comfortable with ambiguity and open to a role that evolves Organized, resourceful, and a self-starter At least 21 years of age Comfortable learning new software and administrative systems Prior childcare, front-office, or administrative experience preferred (early childhood background a plus, not required to start) Must be able to pass an Arizona DPS fingerprint clearance, negative TB test, and obtain CPR/First Aid certification Ability to lift up to 50 lbs, stand for extended periods, and participate in classroom/floor-level activities as needed What You'll Get A genuine, family-style working environment Paid vacation, holidays, and your birthday off Discounted childcare Medical, dental, and vision benefits Life and accident insurance Ongoing training and continued education support Minimum annual performance raises A real, honest path to a leadership role — not a title with no support behind it A Note on Our Process We believe in being upfront with candidates the same way we're upfront with our staff and families.
