Administrative Coordinator / Junior Designer Boutique Interior Design & Construction Firm | San Diego, CA Part-Time | Approximately 20-25 hours/week | Flexible Schedule About Us We are a boutique interior design and construction firm in San Diego and after more than 15 years in the business, we have built our company primarily through relationships, referrals and a genuine love for what we do. Our clients are important to us and many of our clients have become friends and in some cases, feel like family. We believe that beautiful work is only part of what makes a successful project. Communication, honesty, follow-through and attention to detail matter just as much. We are looking for someone special to join our small team and become an important part of the day-to-day operation of the business. About the Position We are looking for a highly organized, proactive, and personable Administrative Coordinator / Junior Designer who enjoys variety and is comfortable wearing a lot of hats. This is not a traditional administrative position and it isn't a traditional junior designer position either. Some days you may be helping with estimates and pricing. Other days you may be sourcing a beautiful light fixture, following up with a vendor, organizing project details, visiting a job site or helping solve an unexpected project issue. The owner is an Interior Designer and licensed General Contractor and is frequently in client meetings, on job sites or managing multiple projects. We need someone who can take a list of priorities and independently figure out what needs to happen next. If you are naturally organized, notice details other people miss, follow through without being reminded and genuinely enjoy getting things done, this could be a great fit. What You'll Do Administrative & Project Coordination Assist with estimates, pricing, proposals, invoices and project documentation Organize project information, schedules, selections, orders, and files Follow up with vendors, subcontractors, trades and clients Obtain pricing, lead times, availability and product information Track outstanding items and make sure details don't fall through the cracks Coordinate deliveries, samples, appointments and installations Help keep projects organized and moving forward Assist with general office operations and special projects Design Support Research furniture, lighting, plumbing, finishes, materials and accessories Assist with product sourcing and pricing Help prepare design presentations, samples, finish board and specifications Assist with selections, space planning and design documentation Help bring design concepts to life while learning how those decisions translate into construction Construction & Job Site Support Communicate with vendors, fabricators, subcontractors and trades Assist with project coordination and day-to-day construction details Occasionally visit local job sites Assist with deliveries, installations, punch lists and project organization Help identify issues and follow through until they are resolved Who You Are We're looking for someone who is: Exceptionally organized Detail-oriented and takes pride in doing things correctly Honest, trustworthy, and dependable Proactive…you don't wait to be told every next step Comfortable taking initiative and making decisions within your role A strong communicator Professional and personable with clients, vendors and trades Resourceful and a good problem solver Comfortable balancing multiple priorities Interested in interior design, construction, architecture or the residential design industry Someone who enjoys both creative work and checking things off a list You don't need to know everything. We can teach you our systems and how we like things done. What matters most to us is character, initiative, organization, honesty and follow-through. You Might Be a Great Fit If... You love beautiful design and organized spreadsheets. You can spend the morning researching a gorgeous light fixture, the afternoon getting pricing from a vendor and the next day helping coordinate details at a job site. You can receive a long list of priorities and think, "Okay, I'll figure this out." You notice that a vendor hasn't responded and follow up without being asked. You care about getting the details right. And you enjoy being part of a small business where your work actually matters. Qualifications Previous experience in interior design, architecture, construction, project coordination, administration or a related field preferred Design education or experience is a plus Strong organizational and communication skills Proficiency with Microsoft Office and/or Google Workspace Familiarity with Canva, Adobe, AutoCAD, Studio Designer or other design/project management software is a plus Comfortable learning new systems and technology Valid driver's license and reliable transportation Ability to occasionally travel to local job sites, vendors, showrooms, and project-related locations Schedule & Compensation Part-time, approximately 20-25 hours per week We are looking for consistent weekday availability, with some flexibility in scheduling.
Compensation:
