Administrative Coordinator (Case Management)

Location:

Los Angeles, CA 90017

Duration:

13 Weeks / 3 Months

Shift:

Day Shift (8:00 AM - 4:30 PM)

Schedule:

Weekends (Saturday & Sunday) + potential weekdays

Par XXXX:

XXXXXXXXXXX/hr Important Note Candidate must be available Monday-Friday during initial training/orientation period.

Post-training schedule will primarily be weekends (Sat & Sun). Position Summary The Administrative Coordinator provides clerical and operational support to the Case Management team. This role assists with discharge planning, care coordination, financial assessments, and ensures smooth transitions for patients during and after hospitalization. Required Skills Basic computer proficiency

Knowledge of medical terminology

Strong verbal and written communication

Critical thinking and problem-solving skills

Education & Experience Required:

High School Diploma or equivalent

Previous experience in a medical/healthcare setting

LA City Fire Card (required within 6 months of hire)

Preferred:

Bachelor's Degree Key Responsibilities Discharge Planning & Coordination Participate in daily Case Management meetings

Coordinate referrals, documentation, and follow-ups

Arrange DME, medications, and transportation for discharge

Ensure completion of all discharge plans

Perform clerical tasks (faxing, calls, documentation) Financial & Insurance Support Verify insurance and benefits coverage

Assist with financial assessments and referrals

Support disability applications and reimbursement processes

Maintain knowledge of payer guidelines and reimbursement practices Case Management Support Collaborate with RN and Social Work Case Managers

Assist with admissions, transfers, and discharge documentation

Track frequent admissions and notify care teams

Support utilization review and insurance communications Patient & Family Support Assist with education and documentation under supervision

Support advance directive documentation

Report relevant patient information to Case Management team Administrative & Compliance Duties Maintain HIPAA compliance and patient confidentiality

Ensure adherence to safety and hospital policies

Assist with legal reporting and documentation when required

Collect and enter data related to case management metrics Additional Responsibilities Support pre-certification and insurance authorization processes

Coordinate communication with third-party payers

Assist with denial management and appeals

Handle Medi-Cal documentation and TAR processes
