Job Description

We are looking for a dependable Client Administrative Coordinator to support daily front desk & client intake operations for a nonprofit housing program in San Mateo & East Palo Alto. This Long-term Contract opportunity is ideal for someone who enjoys helping people, staying organized, and creating a welcoming environment for clients, visitors, and staff. The role combines reception, administrative support, client-facing service, and facility coordination in a fast-paced setting. Success in this position requires professionalism, sound judgment, and the ability to respond calmly to urgent needs.
Responsibilities:
  • Welcome visitors and clients at the front desk, answer inquiries, and direct matters to the appropriate staff members.
  • Prepare and organize intake documentation so case management teams can efficiently support new and returning clients.
  • Enter and maintain accurate records, logs, and routine administrative information in a timely manner.
  • Monitor office, day-room, and general facility supplies, restock items as needed, and notify the team of shortages.
  • Sort and distribute incoming mail, deliveries, donations, and food drop-offs to the proper areas.
  • Provide coverage during staff breaks and meal periods to help maintain uninterrupted front desk and client support services.
  • Assist clients with check-in and check-out procedures and help coordinate access to medications when appropriate.
  • Walk through interior and exterior areas of the facility, observe for concerns, and report urgent situations to staff promptly.
  • Support site rules and documentation processes by recording incidents or notices when policy follow-up is required.
