This position assists with staff scheduling, attendance tracking, record maintenance, data entry, communication, and other administrative functions necessary to support hospital staffing operations.
The ideal candidate is organized, dependable, detail-oriented, and comfortable working in a fast-paced behavioral health environment. This is an administrative position and does not provide direct patient care; however, the individual will work onsite within a secure state psychiatric hospital. Essential Duties and Responsibilities Provide general administrative support to the Staffing Office and hospital leadership. Assist with maintaining and updating employee schedules, staffing rosters, and assignment records. Communicate staffing assignments, schedule updates, vacancies, call-offs, and other changes to appropriate personnel. Receive and document attendance-related communications, including call-offs, tardiness, and schedule changes. Enter and maintain accurate information in scheduling, timekeeping, and administrative systems. Review staffing records and reports for completeness and accuracy. Assist with preparing daily staffing sheets, reports, spreadsheets, and other documentation. Answer telephone calls, monitor shared email inboxes, and direct questions to the appropriate department or supervisor. Maintain organized electronic and physical files in accordance with hospital procedures. Handle employee, patient, and operational information with professionalism and confidentiality. Coordinate with nursing leadership, supervisors, human resources, agency partners, and other departments as needed. Assist with onboarding, orientation scheduling, badge coordination, or other administrative processes when assigned. Identify discrepancies or missing information and escalate concerns to the appropriate supervisor. Provide professional and courteous service to hospital staff, applicants, contractors, and external partners. Perform other administrative duties as assigned. Minimum Qualifications High school diploma or GED required. At least one year of administrative, clerical, scheduling, staffing, or office support experience preferred. Experience in healthcare, behavioral health, staffing, human resources, or a 24-hour operational environment preferred. Proficiency with Microsoft Office, including Outlook, Word, and Excel. Ability to learn scheduling, timekeeping, and workforce-management systems. Strong attention to detail and ability to maintain accurate records. Effective verbal and written communication skills. Ability to manage competing priorities and respond appropriately to changing staffing needs. Ability to exercise sound judgment and maintain confidentiality. Dependable attendance and punctuality.
