Description With over 60 years of service to the community as the premier imaging center in Tallahassee, we continue to grow and thrive. We are seeking a Front Desk Supervisor to join our team. This is a full time, supervisory, benefits eligible position.
This position includes:

GENERAL SUMMARY OF DUTIES
The Front Desk Supervisor is responsible for leading and overseeing all front desk operations, including patient registration, scheduling coordination, and time-of-service collections. This role supervises front desk staff and ensures accurate, efficient, and consistent workflows. The Supervisor ensures a high level of patient satisfaction by maintaining a professional, service-oriented environment while also supporting operational efficiency. This position works closely with scheduling, insurance, and clinical teams to ensure patients are appropriately prepared for imaging services prior to arrival.
ESSENTIAL FUNCTIONS
Supervise front desk staff, including daily workflow coordination, staffing assignments, and schedule coverage to support patient volume and operational needs Manage staff performance by setting clear expectations, monitoring productivity and quality, providing regular feedback and coaching, and addressing performance concerns in a timely and consistent manner Serve as the primary escalation point for patient concerns and complaints, resolving issues with professionalism, empathy, and a focus on outstanding care Ensure efficient and accurate patient check-in processes, including registration, demographic verification, and insurance confirmation, demonstrating attention to detail and operational reliability Oversee time-of-service collections, including co-pays, deductibles, and self-pay balances; ensure staff are consistently communicating financial responsibility clearly and professionally to patients Monitor patient flow, wait times, and front desk throughput; proactively adjusting staffing, workflows, or processes to maintain efficiency and a positive patient experience Ensure consistency in handling walk-ins, STAT requests, and add-on patients Collaborate with scheduling, authorization, and insurance teams to ensure patients are appropriately prepared prior to arrival Identify and address workflow inefficiencies and front-end process gaps; implement improvements to enhance accuracy, consistency, and overall department performance Train and cross-train staff to ensure consistency in process, coverage flexibility, and adherence to organizational standards across locations Review and approve timecards, PTO requests, and staff schedules Ensure compliance with HIPAA and organizational policies, reinforcing a culture of integrity and trust Ensure front desk areas are operationally prepared, including supply availability and workspace readiness Perform front desk duties as needed to support team operations Participate in special projects and organizational initiatives as directed
Requirements:
EDUCATION AND EXPERIENCE
Required :
High school diploma or equivalent Minimum of 3-5 years of leadership or supervisory experience Demonstrated experience managing staff performance, workflows, and daily operations Strong background in customer service and team management Proven ability to hold staff accountable to performance standards, including attendance, productivity, and quality expectations
Preferred :
Associate or bachelor's degree in healthcare administration, business administration, or related field Experience in a medical office, healthcare, or patient-facing environment Experience with patient registration, scheduling workflows, or front desk operations Experience with EMR/RIS systems
KNOWLEDGE
Customer service standards in a healthcare setting Staff scheduling and coverage planning Basic insurance concepts and patient responsibility HIPAA and patient confidentiality Workflow and operational efficiency
SKILLS:
Strong leadership skills with the ability to manage teams effectively in a high-volume, fast-paced environment Excellent organizational and time management abilities Strong communication and interpersonal skills Critical thinking and problem-solving skills Proficiency in computer systems, including EMR/RIS platforms and Microsoft Office
PHYSICAL DEMANDS
This position requires performing work in a standard office environment, with prolonged sitting and frequent use of a computer, keyboard, and telephone. The role involves frequent computer screen viewing, data entry, and document review, requiring close visual acuity. The individual must be able to communicate effectively, both verbally and in writing. Occasional standing, walking, bending, and reaching may be required. The position may involve lifting or moving light office materials (up to 10-15 pounds).
MENTAL DEMANDS
Fast-paced, high-volume healthcare environment requiring frequent multitasking, prioritization, decision-making, and problem-solving. This role requires the ability to maintain accuracy and professionalism under pressure, address patient concerns and staffing issues with sound judgment, and respond calmly to interruptions, workflow disruptions, and competing operational demands.
ENVIRONMENTAL CONDITIONS
