We are seeking a Front Desk & Administrative Coordinator who genuinely enjoys administrative work — someone who finds satisfaction in organized files, accurate records, and ensuring systems are working correctly. Who This Role Is For This role is ideal for someone who:

  • Enjoys both behind-the-scenes administrative work and community interaction If you dislike structure or detail-oriented work, this role will not be a good fit. If you enjoy keeping systems clean, compliant, and accurate, you will thrive here. Key Responsibilities Front Desk & Communication
  • Answer incoming phone calls and route appropriately
  • Respond to emails and general inquiries
  • Greet and assist clients as needed Scheduling & Coordination
  • Schedule client appointments and manage calendars
  • Coordinate with clinical staff to ensure accurate scheduling
  • Assist with appointment reminders and follow-ups Administrative & Records Management
  • Maintain accurate and up-to-date client records in our Electronic Health Record (EHR) system
  • Review files to ensure completeness, accuracy, and compliance
  • Identify and flag missing or inaccurate documentation
  • Support internal chart reviews and administrative audits Authorizations & Billing Support
  • Help ensure clients have appropriate insurance authorizations, including Medicaid authorizations
  • Track authorization status and flag issues before services are impacted
  • Support basic billing-related tasks, coordination, and documentation as needed
  • Work closely with leadership and external billing partners to resolve discrepancies Compliance & Quality Support Support the General Manager and Compliance Officer with:
  • Compliance audits and documentation reviews
  • Preparing materials for regulatory and quality reviews throughout the year
  • Following established policies and procedures consistently Community & Office Support
  • Support community outreach and coordination as needed
  • Assist with general office organization and administrative projects Preferred Qualifications
  • Experience in mental health, healthcare, social services, or community-based organizations
  • Strong administrative background with exposure to authorizations or billing workflows
  • High attention to detail and accuracy
  • Comfortable handling confidential and protected health information
  • Familiarity with ICANotes is a strong plus
  • Bilingual (Spanish/English) is a plus, but not required
