POSITION SUMMARY A
local non-profit organization is seeking an Administrative Coordinator to serve as the first point of contact for visitors, members, and staff while supporting daily operations across administration, communications, events, and executive leadership. This highly visible role requires professionalism, strong customer service, organization, discretion, and the ability to manage multiple priorities in a fast-paced environment.

KEY RESPONSIBILITIES
Deliver a professional, welcoming front desk experience for visitors and vendors Serve as the primary contact for phone, email, and in-person inquiries while handling sensitive information with discretion Manage database functions including registrations, invoicing, payments, reporting, and record updates Coordinate meetings, schedules, agendas, minutes, board materials, and reports Draft, proofread, and distribute correspondence and materials Support staff and leadership with travel, meeting preparation, and event logistics Assist with event and program planning, registrations, promotion, setup, and on-site support Oversee daily office operations including supplies, mailings, records, and office organization Conduct research and provide administrative support across departments Perform additional duties as needed to support organizational success
QUALIFICATIONS/SKILLS
Minimum high school diploma (or equivalent) with experience in administrative and customer-oriented roles Exceptional verbal and written communication skills, including professional email, phone, and in-person communication, active listening, and accurate note-taking Personable and service-oriented, with the ability to deliver outstanding customer service while serving as a positive, professional advocate for the organization Proven ability to manage time effectively, balance multiple projects, and maintain a high level of accuracy and detail Strong organizational skills with the ability to work independently, prioritize tasks, and carry projects to completion with minimal supervision; self-motivated and proactive in approach Team-oriented, cooperative, professional, and courteous in manner and appearance Proficient typing and document preparation skills, including drafting, formatting, proofreading, and editing correspondence and reports Proficiency in Microsoft Office Suite applications, CRM/database systems, event registration platforms, and other web-based programs Ability to lift and transport event materials and assist with event setup and breakdown as needed Must maintain a dependable vehicle with valid driver's license and proof of insurance; ability to attend early morning and evening events using personal transportation and take on additional responsibilities as assigned This is a full-time (39 hours per week) position.
