Our client is seeking a highly organized and detail oriented Administrative Coordinator to support operations within our Clinical Studies Office and clinic. This role is responsible for coordinating day to day administrative activities related to clinical research studies, including scheduling participant visits, maintaining accurate study documentation, supporting regulatory compliance, and facilitating communication between research staff, clinicians, study participants, and external sponsors. The ideal candidate will play a key role in ensuring smooth study operations by managing multiple priorities in a fast-paced clinical environment while maintaining accuracy, confidentiality, and adherence to research protocols and institutional guidelines. Strong communication skills, the ability to work collaboratively with multidisciplinary teams, and proficiency in managing clinical research administrative tasks are essential for success in this role.
Key Responsibilities:
Maintain and regularly update study logs, tracking sheets, and administrative databases to support data accuracy and operational efficiency Must demonstrate strong phone communication skills with the ability to professionally handle incoming and outgoing calls with patients, staff, and external partners Coordinate and maintain complex scheduling for clinical research studies, including participant visits, provider availability, and study related appointments Prioritize and manage multiple tasks simultaneously in a fast-paced clinical research environment Coordinate and confirm patient schedules for clinical research visits, ensuring a smooth and well-organized participant experience Serve as the primary point of contact for study participants, providing clear and professional communication regarding appointments, study procedures, and visit expectations
Required Qualifications:
Proven experience as an administration coordinator or in a similar role. Knowledge of office management systems and procedures. Excellent time management skills and ability to multi-task and prioritize work. Attention to detail and problem-solving skills. Excellent written and verbal communication skills. Proficiency in MS Office and Excel. Must be flexible to provide coverage at both Kenosha, WI (primary location) and Gurnee, IL as needed Degree preferred; equivalent combination of education and experience will be considered
Pay:
$19.00 - $21.00 per hour
