Full-time Pay:
$18.00 - $23.00 / hour (based on experience) About the Role Wolfpack Exterior Services is seeking an organized, proactive Administrative & Operations Coordinator to keep our office, scheduling, and customer communication running like clockwork. In this role, you will be the primary voice and first impression of the company—answering incoming inquiries, managing customer profiles, dispatching field routes, following up on quotes, and ensuring daily operations stay smooth and efficient.
Key Responsibilities Customer Communication:
Answer incoming phone calls, respond to texts/emails, qualify leads, and address client inquiries promptly with a professional, friendly demeanor.
Scheduling & Dispatch:
Coordinate daily and weekly service routes for field technicians, book on-site estimates, and adjust schedules smoothly around weather delays.
CRM & Job Management:
Input client details, create job requests, build and send estimates, and convert approved quotes into active jobs using our field service management software (QuoteIQ).
Invoicing & Accounts Receivable:
Issue accurate customer invoices upon job completion, process payments, and conduct light follow-up on outstanding balances.
Operational Support:
Track supplies/inventory needs, organize digital files and job photos, and assist ownership with operational and marketing tasks as needed.
Qualifications & Requirements Experience:
1-2+ years of administrative, dispatch, office support, or customer service experience (experience in a home services, construction, or trades environment is a strong plus).
Tech-Savvy:
Comfortable navigating CRM/field management software (QuoteIQ, Jobber, Housecall Pro, or similar), Google Workspace (Gmail, Drive, Docs, Sheets), and multi-channel text/calling systems.
Communication:
Exceptional verbal and written communication skills with strong telephone etiquette and clear grammar.
Organization:
High attention to detail, strong time-management skills, and the ability to multitask in a fast-paced environment where priorities can shift quickly.
