Office Coordinators are responsible for regulating office functions and assisting Gray Residential's management team. Consistent attendance is a general qualification for this job. Answer and appropriately route telephone calls. General filing, copying, and faxing duties. Accurately organize and audit personnel files in compliance with Gray Residential's format Ensure copies are made of all required documentation for new hires on the first day of orientation. Ensure accurate completion of orientation and training outlines. Assist with gathering and disseminating timesheets, mileage and service paperwork. Assist with arranging new employee orientations and trainings. Ensure forms are replenished and packets are copied in advance of orientations and trainings. Order office supplies. Coordinate maintenance and repairs of the office and equipment. Coordinate vehicle maintenance. General office errands as needed. Ensure the office is clean and trash is removed daily. Assist the Human Resources Director with personnel functions and activities. General support to the Program Managers and other Gray Residential supervisory staff.
Minimum Qualifications:
- Knowledge High School Diploma or equivalent G.E.D. Experience working in a fast paced office environment is preferred
- Skills & Abilities Ability to follow detailed plans accurately, including both oral and written instructions Ability to apply sound, mature decisions Ability to communicate adequately in order to complete required forms and reports General knowledge of Microsoft Windows and Office suite Ability to work independently with minimal supervision Ability to follow federal HIPAA guidelines and Gray Residential policies and procedures regarding individual and employee confidential information Exceptional organizational skills Ability to bend, stoop, sit, stand, reach and lift items weighing at least 75 pounds • Additional Requirements Ability to work during regular office hours, 9:00 am through 5:00 pm Monday through Friday At least 18 years of age Current negative TB (Tuberculin test) Acceptable criminal (State and County) history background checks
