Job Description

Changing Lives Therapeutic Service, LLC Position Summary The Administrative Assistant is responsible for supporting the daily administrative operations of the practice by providing exceptional customer service, coordinating client services, maintaining accurate records, and assisting clinicians with administrative needs. This position requires excellent organizational skills, professionalism, and the ability to multitask in a fast-paced behavioral health environment. Essential Duties & Responsibilities Client Services Complete new client intake processes. Create and maintain electronic client charts. Verify client insurance eligibility and benefits prior to services. Schedule initial appointments and follow-up appointments. Answer incoming telephone calls and respond to general inquiries. Monitor office voicemail and return calls as appropriate. Monitor inactive clients and assist with client re-engagement. Maintain accurate client demographic and insurance information. Clinical Administrative Support Assist clinicians with administrative requests. Upload, scan, organize, and file electronic documentation. Prepare intake packets and required forms. Ensure all required client documentation is completed before services begin. Assist with maintaining compliance documentation within the electronic health record. Office Operations Maintain an organized and professional front office. Order and maintain office supplies. Assist with data entry and record management. Complete general clerical duties, including copying, scanning, filing, and emailing. Assist leadership with administrative projects. Perform other duties as assigned. Community Outreach & Events Assist with planning and coordinating community events. Help prepare outreach materials and event supplies. Assist with event registration and vendor applications. Help set up and break down community events. Represent the agency professionally during community outreach activities. $20.00 - $23.00 per hour
