Job Description

Job Summary We are seeking a highly organized and detail-oriented Finance and Research Administrative Coordinator to join our client's dynamic team. This pivotal role involves managing financial operations, overseeing research-related administrative tasks, and ensuring compliance with procurement and contractual regulations. The successful candidate will facilitate vendor management, document review, assisting with grant writing, post-award support, complex domestic and international shipping logistics and inventory management. This position requires strong organizational skills, a collaborative spirit, independent judgment, initiative and follow through, the ability to collaborate effectively with others, and a commitment to fostering research excellence.
Duties/Responsibilities Regulatory Compliance:
Ensure adherence to local, state, federal, and institutional regulations, maintaining compliance throughout the research lifecycle.
Asset and Inventory Management :
Support the development and implementation of asset management policies and procedures, tracking and monitoring the lifecycle of assets, including acquisition, maintenance, and disposal.
Shipping Logistics:
Oversee aspects of domestic and international shipping logistics, including transportation, distribution, customs, and warehousing. Track and maintain accurate shipping documentation, including bills of lading, invoices, and customs paperwork.
Post-Award Accounting:
Assist in the management of post-award accounting, including budget monitoring and financial reporting, maintaining documentation for a significant volume of grant-funded purchases, research applications and stipend requests.
Procurement:
Manage research related purchasing for faculty, staff, and graduate students, negotiate purchase agreements, terms and conditions, and ensure compliance with company standards.
Additional Support Activities:
Offer budget support, act as a contact for incoming inquiries, assist with internal and external events. Other Duties as
Assigned Required Knowledge, Skills & Abilities:
Strong analytical skills and attention to detail Excellent written and verbal communication skills, with the ability to interact effectively with diverse stakeholders. Independent judgment in applying policies and procedures, initiative and follow-through, and the ability to collaborate effectively with others. Proficiency in Microsoft Office Suite and experience with grant management and procurement software. This role is integral to ensuring the organization maintains operational excellence through meticulous financial oversight and research administration support.
