Administrative Coordinator Commercial Real Estate

DBB Holdings, Inc. - Reno, NV Full-Time | Monday-Friday | In-Person Independent Contractor (1099) Job Summary DBB Holdings is seeking an organized, dependable, and detail-oriented Administrative Coordinator to support the day-to-day operations of our commercial real estate portfolio. This position is responsible for maintaining accurate property and tenant records, tracking lease information and important dates, coordinating documentation and communications, assisting with property-related projects, and providing general administrative and operational support to management. The ideal candidate is highly organized, comfortable managing multiple priorities, proficient with spreadsheets and electronic recordkeeping, and able to communicate professionally with tenants, vendors, and other business contacts. Key Responsibilities Maintain and update Yardi, tenant portals, OneDrive, and internal tracking systems with current property, tenant, vendor, and operational information. Maintain the company's master lease spreadsheet, including lease expirations, renewals, rent escalations, percentage/additional rent requirements, and other important dates. Run recurring Yardi reports and prepare spreadsheets and supporting documentation for management. Maintain organized electronic and physical files for leases, amendments, contracts, insurance certificates, vendor documents, and property records. Track and collect insurance certificates and other required documentation from tenants, vendors, and promissory note borrowers. Serve as an administrative point of contact for routine tenant and vendor inquiries and route accounting, maintenance, or management matters appropriately. Manage the company's general contact email and distribute incoming requests to the appropriate team member. Prepare tenant notices, property updates, correspondence, forms, letters, spreadsheets, and other administrative documents. Coordinate signatures and maintain executed copies of leases, amendments, contracts, and other company documents. Coordinate utility setup, transfers, and account changes for vacant units, new tenants, acquisitions, and property sales. Assist with new property and tenant onboarding and ensure required information is properly entered and filed. Assist with delinquent-account administration, including documentation, recordkeeping, and follow-up tracking. Obtain vendor quotes and coordinate routine vendor communications. Assist with the administrative coordination of maintenance and property-related projects. Provide administrative support for property acquisitions, dispositions, financing, and other transactions. Assist with document preparation and recordkeeping related to promissory notes. Assist with mail processing, scanning, filing, document distribution, and general office administration. Support management with special projects and other administrative or operational needs as assigned. Qualifications Strong organizational skills and attention to detail. Ability to manage multiple projects, deadlines, and recurring responsibilities. Strong written and verbal communication skills. Self-motivated with the ability to take ownership of assigned tasks and follow through on deadlines. Proficiency with Microsoft Office, particularly Excel, Outlook, and Word. Comfortable learning and working with property management software, databases, and electronic filing systems. Experience with Yardi is preferred but not required. Previous experience in commercial real estate, property management, office administration, or a similar environment is preferred. Ability to maintain confidentiality and professionally handle business, tenant, and financial documentation. This position involves a large amount of documentation, communication, and recurring deadlines, so accuracy and follow-through are especially important. Commercial real estate experience is helpful, but we are also open to candidates with strong administrative experience who can learn our systems and processes.
Please note:
This position is structured as an independent contractor (1099) engagement. The contractor is responsible for their own tax withholding and does not receive traditional W-2 employee benefits.
