$27.00/hr Overview We're seeking a detail-oriented Administrative Assistant - Contracts Coordinator to support the Contracts Department with high-volume intake, tracking, and contract lifecycle administration. This role focuses on coordination, documentation, and workflow support— not contract negotiation or substantive legal review. Key Responsibilities Monitor the Contracts shared inbox and serve as the first point of intake for incoming requests. Review requests and identify the appropriate workflow (e.g., COIs, MOUs, contract review requests, IT/facilities agreements, vendor/service agreements, legal matters, healthcare agreements, payer vs. non-payer agreements). Triage and route requests to the correct Contracts team member or internal department. Enter new contracts/requests into the contract management system ( Cobblestone ) and ensure required documentation is complete and accurate. Maintain and update contract records and supporting documentation. Support Certificate of Insurance (COI) administration (sending COIs, coordinating requests with internal stakeholders). Follow up on missing items (approvals, signatures, insurance info, required documents) to keep requests moving. Maintain organized electronic contract files and correspondence. Assist with contract inventory, reporting, tracking, and data cleanup projects. Communicate professionally with internal departments, program managers, and external counterparties regarding status and outstanding needs. Qualifications Prior experience in contract administration, legal administration, procurement, healthcare administration, or a similar environment preferred. Experience with a contract lifecycle management system preferred (Cobblestone is a plus, not required). Strong organizational skills, attention to detail, and ability to manage multiple workflows. Strong written communication and follow-through; comfortable working independently and escalating appropriately. Proficiency with Microsoft Office (especially Outlook, Word, Excel). Education preferred but not required with sufficient relevant experience.
