Adolescent Consultation Services (ACS), a nonprofit mental health agency serving the Middlesex County Juvenile Courts of Massachusetts, is seeking experienced applicants for a full-time (40 hours/week) finance and administrative position. ACS provides mental health evaluation, consultation, and treatment services to children and teens in Middlesex County. This position is based in Cambridge. Position Summary ACS is seeking a detail-oriented and motivated Finance & Administration Coordinator to work alongside the Director of Finance & Administration across a range of finance, HR, data, and office operations functions. This is an excellent opportunity to build hands-on experience across multiple operational areas and gain skills relevant to nonprofit management. The ideal candidate is organized, adaptable, comfortable wearing many hats, and passionate about supporting mission-driven work.
Essential Functions:
Accounts Payable and Receivable Utilizing Quickbooks and Melio Payments, manage the AP and AR processes. Receive invoices, categorize them in accounting software, and ensure they are marked for payment in a timely manner. Work with the Director of Development to ensure proper recording of donations and depositing of checks as necessary. Office Management Ensure effective maintenance of the Cambridge office space, including ordering of supplies, organization of supplies and office equipment as well as general tidiness. Provide front desk support, including greeting clients, receiving mail and packages, and answering main phone line as needed. Coordinate with cleaning and other service providers to ensure effective cleaning of the office space. Communicate with Framingham and Lowell offices to ensure they are effectively stocked with necessary supplies. Data Entry Ensure timely entry of client data to the Department of Mental Health database, Redcap. Also ensure timely entry of new referrals to the ACS internal EmpowerDB database. HR Administrative Support Work with hiring managers of open positions to complete basic candidate screening, organize candidate information, and assist with scheduling interviews. Draft offer letters as necessary utilizing existing templates. Support the Director of Finance and Administration with administrative tasks related to general onboarding and benefits. General Support Provide basic IT assistance as needed, reaching out to Director of Finance and Administration or IT consultants when necessary. Provide general administrative support to the Director of Finance and Administration and the Executive Director, as needed. Assist clinicians with records requests, printing, scanning, faxing, or other needs when required.
Required Qualifications:
2+ years of relevant work experience in an office setting, focused on Finance, HR, or general administrative work. Commitment to the organization's mission. Excellent organizational skills with keen attention to detail and the ability to manage multiple projects and deadlines simultaneously. Proficiency with Google Workspace and Microsoft Office; comfort learning new software and systems. Prior experience with or strong interest in nonprofit organizations. A collaborative, self-motivated, and adaptable approach to work.
Preferred Qualifications:
Bachelor's degree in Accounting, Finance, or Business Administration. Experience with Quickbooks or other similar accounting software. Experience with Melio, Bill.com, or similar form of AP software.
Salary and Benefits:
Starting salary range $60,000-$70,000 annually (Compensation is based on education, related work experience, and other qualifications). Periodic staff-wide bonuses based on agency revenue.
