We are seeking a motivated, organized, and client-focused professional to join our team as a Part-Time Legal Intake & Administrative Coordinator / Operations Assistant. This hybrid position combines after-hours legal intake with administrative, operational, and marketing support. The ideal candidate enjoys helping people, communicates confidently over the phone, stays organized in a fast-paced environment, and can work independently while maintaining professionalism and attention to detail. Position Summary As the first point of contact for many prospective clients, you will play a critical role in creating a positive first impression of the firm. During after-hours shifts, you will answer incoming calls, conduct detailed client intake interviews, assess potential cases, explain the legal process, and guide clients through the onboarding process. Outside of intake responsibilities, you will assist with administrative projects, client follow-up, marketing event coordination, and general operational support to help ensure the firm's day-to-day functions run efficiently. Primary Responsibilities Legal Intake Answer incoming after-hours calls from prospective personal injury clients, including evenings, weekends, and designated after-hours shifts. Conduct professional and empathetic intake interviews while gathering comprehensive information regarding: Accident details Injuries sustained Insurance information Property damage Medical treatment Supporting documentation (photos, IDs, insurance cards, etc.) Evaluate preliminary case eligibility using firm guidelines. Accurately document all information within the firm's case management software. Explain the personal injury claims process and answer general client questions. Present the firm's services professionally while building trust and rapport. Send and review attorney-client agreements and required onboarding documents. Assist new clients with beginning medical treatment and understanding next steps. Coordinate seamless handoff of qualified cases to attorneys and internal staff. Maintain accurate records of all client communications and follow-up activities. Administrative & Operations Support Follow up with prospective and current clients regarding outstanding documentation and case compliance items. Send and monitor client communications, reminders, and administrative correspondence. Assist with administrative projects across departments as assigned. Maintain accurate records, reports, and internal documentation. Provide operational support to attorneys and staff to ensure efficient workflow. Perform data entry and general office administrative tasks. Marketing & Community Outreach Support Coordinate community outreach events and sponsorships. Communicate with vendors, organizations, and event coordinators. Track event schedules, deadlines, registrations, and follow-up tasks. Assist with event preparation and post-event administrative follow-up. Support marketing initiatives and other firm projects as needed. Qualifications Required High school diploma or GED. Excellent verbal and written communication skills. Strong customer service and interpersonal skills. Exceptional organizational skills and attention to detail. Ability to multitask in a fast-paced environment. Ability to work independently during after-hours shifts. Professional, dependable, and able to maintain strict confidentiality. Comfortable learning new software and technology. Preferred Experience in legal intake, personal injury law, legal administration, or client services. Sales, customer service, or client conversion experience. Experience using legal case management software such as Neos, PCLaw, Clio, or similar platforms. Administrative or operations support experience. Marketing coordination or event planning experience. Schedule Part-time position. Evening and after-hours availability required.
