Job Description

The Institute on Violence, Abuse, and Trauma (IVAT) is seeking a proactive, motivated individual to provide administrative and logistical support for assigned special projects, training, and related activities. The ideal candidate will be organized and adaptable with a demonstrated ability to collaborate, contribute, and thrive in assisting with multiple projects and tasks. The successful candidate will provide high-quality service to all constituencies of IVAT. They will exhibit the highest professional standards and ethical principles and will be committed to the tenets of IVAT's Mission and Vision. The Family Violence and Sexual Assault Institute (FVSAI) dba Institute on Violence, Abuse and Trauma (IVAT) is a nonprofit organization and a leading international resource and training center, headquartered in San Diego, California. IVAT links practice, policy, research, and advocacy to promote violence-free living and improve the quality of life for individuals on local, national, and international levels. For more information, visit our website: https://www.ivatcenters.org/ POSITION SUMMARY The Outreach and Administrative Coordinator, under the general direction of the Chief Executive Officer, and the Professional Training Manager, will assist with various training, technical assistance, program evaluation and collaboration building in Hawaiʻi. The successful candidate will be dedicated to providing high quality service to all constituencies of IVAT. They will exhibit the highest professional standards and ethical principles and will be committed to the tenets of IVAT's Mission and Vision.
ESSENTIAL FUNCTIONS, DUTIES AND RESPONSIBILITIES
1. Assist with development of needs assessment, and program evaluation for various agencies, organizations, foundations, and populations; 2. Assist with coordination of Advisory Council and Executive Committee phone and in person meetings. Coordinate meeting invitations and meeting materials for all participants. Set agendas with Hoʻomaluhia Chair, take meeting minutes and maintain AC roster; 3. Coordinate training activities, logistics, and requests for technical assistance for various agencies, organizations, foundations and populations; 4. Conduct research for technical assistance and for specific grant deliverables; 5. Engage in outreach to partner organizations and front-line professionals to build Hoʻomaluhia's network; 6. Assist with solicitation and coordination of volunteers, collaborators and exhibitors for the annual HI IVAT International Trauma Summit; 7. Prepare agendas, minutes and other meeting materials as needed with Summit manager for monthly Planning Committee meetings; 8. Provide onsite support at the annual Hawaii Summit in Honolulu, HI; 9. Engage organizations and partners in the efforts of Hoʻomaluhia and help provide technical assistance noted in all grants as needed; 10. Coordinate consultation to nonprofit organizations and state agencies on trauma informed care, abuse, and related topics as needed; 11. Provide weekly status and progress reports to Hoʻomaluhia Chair, IVAT CEO, Professional Training Manger, and IVAT President; 12. Help solicit funding, grants and sponsorships for IVAT Hawaiʻi Summit and Hoʻomaluhia as needed, in conjunction with the Professional Training Manager, CEO, and President of IVAT; 13. Assist with grant writing and preparation of grant reports.
POSITION REQUIREMENTS
Education:
Bachelors Degree, Masters preferred
Experience:
Three years experience in a related field or equivalent combination of education experience and training. Experience in or knowledge of the social science fields (i.e. psychology, sociology, social work, human development, criminal justice) is a plus.
Management Skills:
Ability to use sound judgment to achieve positive problem solving and reach successful decisions; knowledge to know when to consult a supervisor or manager.
Skills, Knowledge and Abilities:
Working knowledge of professional training workshops. Working knowledge of program evaluation. Ability to effectively interface with the public within an organization at all professional levels including staff. Ability to effectively communicate and accurately articulate verbally, in writing and electronically. Ability to successfully work individually and as a team member. Ability to manage multiple tasks and projects with attention to detail. Ability to effectively prioritize tasks and maintain a productive workload. Working knowledge of advanced planning; ability to initiate tasks and projects. Ability to handle multiple projects and hectic deadlines. Ability to handle stress of conflicting schedules or priorities.
Technology Skills:
Proficiency in Microsoft Suite and its applications. Familiarity with Cloud-Based Shared Files, such as Google Drive, Dropbox helpful.
Other Requirements:
Commitment to the mission and vision of IVAT as a social change organization. Ability to attend work regularly. Maintain a professional appearance and demeanor. Valid driver license at time of hire. Employment contingent on a successful background check. Ability to be optimistic, positive and supportive in all interactions with others. Pay:
$60,000.00 - $63,000.00 per year
