Our programs and services reach thousands of electricians, contractors, apprentices, and industry partners. Position Overview The Program Administrative Coordinator supports the day-to-day coordination and administration of the Electrical Association's programs, services, events, and other offerings. This is a varied role designed to provide support where it is most needed across the organization, helping ensure programs run smoothly, records remain accurate, customers receive excellent service, and team members have the support they need. Because we are a small and collaborative team, program assignments and priorities may shift throughout the year based on organizational needs, workload, and opportunities. The ideal candidate is comfortable with variety, enjoys learning new things, and is willing to jump in wherever needed. What We're Looking For We're looking for someone who is organized, reliable, detail-oriented, and enjoys working with people. The ideal candidate can manage multiple priorities, learn new systems and processes, and provide friendly, professional customer service. Strong organization and time-management skills Excellent customer service and communication skills Ability to prioritize and meet deadlines Comfortable managing multiple projects and shifting priorities Comfortable learning and working across multiple software platforms Detail-oriented and dependable Team-oriented with a positive, problem-solving approach Willingness to jump in and support different areas of the organization as needs evolve Experience with learning management systems, CRM/database systems, project management software, email marketing tools, Zoom, and Microsoft Office (particularly Excel) is helpful but not required. Key Responsibilities Program & Offering Support Coordinate logistics, implementation, and administration for Association programs, services, events, and offerings Maintain accurate program, participant, and regulatory records as needed Support instructors, presenters, partners, and team members with materials, schedules, rosters, communications, and program details Assist with online and in-person program delivery, including setup, updates, troubleshooting, and follow-up Track program information and help identify opportunities to improve processes and the customer experience Coordinate with team members to ensure program communications and marketing are accurate and timely Support new programs, initiatives, and special projects as they are developed Shift between programs and responsibilities based on organizational priorities and seasonal workload Meeting & Event Coordination Schedule programs, meetings, and events and coordinate logistics Work with venues, vendors, instructors, presenters, and partners on event details Coordinate with internal teams to help keep programs and events on schedule and within budget Attend local events and programs as needed throughout the Twin Cities area Customer Service & Administration Answer customer calls and emails in a professional, friendly, and timely manner Process registrations, orders, confirmations, receipts, and invoices Assist customers with website navigation, program registration, and online learning access Provide shipping and tracking information as needed Maintain accurate information within Association systems and databases Cross-train in other administrative and operational functions to support the team General Duties Assist with special projects and emerging organizational needs Cross-train across programs and office functions Provide additional support during high-volume periods or when team needs shift Contribute to the smooth day-to-day functioning of the organization Why Join Us? Hybrid (On-Site 3 days / Remote 2 days) (our office is currently located in Minneapolis but we will be moving to Roseville)
