The Washington Apple Education Foundation (WAEF) is looking for a dependable, detail-oriented Finance & Administrative Coordinator to help keep the day-to-day administrative work of our organization running smoothly. The details matter at WAEF . Accurate financial records, well-prepared meetings, effective systems and dependable follow-through give our staff, board and volunteers the foundation they need to focus on students and our mission. The Finance & Administrative Coordinator plays an important behind-the-scenes role in keeping WAEF accountable, prepared and ready to serve our community well. This is a great role for someone who likes keeping things accurate, organized and on schedule. The coordinator handles established financial and administrative activities including accounts payable, accounts receivable, deposits, records, board meeting preparation and organizational calendars while providing administrative support to the executive director. The position works alongside WAEF's external accountant, who is responsible for accounting, payroll processing and financial reporting. What you'll do Process invoices and prepare payments for approval. Record and track accounts receivable and prepare deposits. Maintain supporting financial, investment and donor account records. Prepare board meeting materials, coordinate meeting rooms & meals, and draft meeting minutes. Maintain board meeting, files, and member information in WAEF's board management system. Track recurring deadlines and administrative follow-through. Assist the executive director with scheduling, meeting preparation, correspondence and special projects. Maintain office equipment contacts and vendor relationships. Help document recurring administrative processes and keep electronic and physical records organized and accessible. We're looking for someone who brings Experience in administrative support, bookkeeping, accounts payable and receivable, or similar detail-oriented work is preferred. Strong attention to detail, sound judgment, confidentiality and dependable follow-through are particularly important. The successful candidate should be comfortable working independently on established responsibilities while asking timely questions and keeping team members informed, as needed. Proficiency with Microsoft 365 is expected. Experience with QuickBooks Online, BoardEffect or DonorPerfect is helpful, but we are also interested in someone who can learn new systems well. This is an in-person, approximately 20-hour-per-week position based in WAEF's Wenatchee office. The regular schedule will be established with the executive director, with some flexibility needed around board meetings and organizational deadlines.
